Who is Bridging Access to Care, Inc.:Bridging Access to Care, Inc. (BAC) is a nonprofit, multi-service, community-based behavioral health care organization committed to building healthy communities, one person at a time.

In 2012, Brooklyn Aids Task Force changed its name to BAC and successfully made the transition from an AIDS-centered organization to a multi-service community-based healthcare organization. Brooklyn Aids Task Force was the very first HIV/AIDS organization in Brooklyn prioritizing serving persons living with HIV/AIDS (PLWHA) since 1986. Today, BAC provides mental health and substance use-related social services, comprehensive HIV/AIDS care, and coordinated health care and supportive services to underserved racial and ethnic minority communities in Brooklyn and other parts of New York City.

JOB SUMMARY: The Senior Client Support Representative in our First Steps OASAS clinic will serve as the welcoming face and trusted resource. The Senior Client Support Representative will support our outpatient clinic and the SAMHSA Grant for Benefit of Homeless Individuals team (GHBI). Under the guidance of the Clinic Director of OASAS, this position helps individuals navigate the path to treatment by providing compassionate support, coordinating services, and ensuring access to care. Such as our Substance Use Program, DWI Program, Harm Reduction Program, and HIV/HCV/STI testing.

This role combines customer service, patient intake, insurance verification, scheduling coordination, and administrative support to ensure clients receive timely access to care. The representative manages client registrations, verifies insurance eligibility and authorizations, coordinates referrals and appointments, maintains electronic health records, supports grant-funded programs, and collaborates with clinicians and providers. The Senior Client Support Representative plays a critical role in creating a smooth and positive experience for clients and their families.

EDUCATION AND WORK QUALIFICATIONS:

MINIMUM: High School Diploma/GED or equivalent required, associate’s degree or higher, strongly preferred.
MINIMUM: Four (4) years’ related experience in a related field
MINIMUM: Two (2) years’ experience with AA
MINIMUM: Two (2) years’ understanding of insurance benefits for Medicaid/Medicare, Medicaid/HMO, and private insurance companies

DUTIES AND RESPONSIBILITIES:

Customer Engagement & Client Services

Greet and assist clients, visitors, and stakeholders in a professional and welcoming manner.
Manage front desk operations, including reception area setup, refreshments, and client comfort.
Answer and direct phone calls while providing exceptional customer service.
Provide information regarding agency programs, services, and community resources.
Distribute educational materials and transportation assistance when appropriate.
Coordinate walk-in services, including HIV/HCV/STI testing and client referrals.
Build and maintain positive relationships with clients, families, providers, and referral partners.
Handle confidential information in compliance with privacy regulations.

Administrative Operations & Office Management

Maintain daily office operations and coordinate facility schedules.
Register patients and accurately collect demographic, referral, and intake information.
Establish and maintain electronic client records (eCR/EMR).
Review and manage client charts for completeness, storage, and compliance.
Process consultant invoices and manage program supply inventories.
Receive, review, and distribute mail and deliveries.
Generate weekly and monthly operational reports for program leadership.
Collect co-payments and maintain accurate documentation.
Proactively identify and resolve operational challenges in a fast-paced environment.

Insurance Verification, Intake & Program Coordination

Verify patient insurance eligibility and maintain accurate insurance records.
Obtain prior authorizations and continuation approvals from commercial and managed care plans.
Monitor insurance coverage and communicate potential coverage issues to patients, families, providers, and supervisors.
Ensure accurate insurance documentation is uploaded and maintained within the EMR system.
Coordinate intake processes for DWI, First Steps, OMH Satellite Clinic, and GBHI programs.
Schedule referrals within established timelines and maintain clinician scheduling accuracy.
Coordinate urine toxicology services and related program requirements.
Manage data entry, chart maintenance, and reporting for SAMHSA GBHI grant requirements, including SPARS documentation.
Coordinate referrals between internal programs and ensure adherence to intake and referral protocols.
Maintain knowledge of insurance billing practices, ICD-10 coding, Medicaid, Medicare, managed care, and private insurance plans.

KNOWLEDGE, SKILLS AND ABILITIES:

Proficiency in Microsoft Word; Comfortable with digital tools and software for project management, data tracking, and communication, with a commitment to leveraging technology to improve program outcomes.
Flexibility with strong organizational/prioritization skills, with the ability to adhere to deadlines
Ability to prioritize and follow policy and procedures.
Knowledge of billing; thorough understanding of insurance benefits for Medicaid/Medicare, Medicaid/HMO, and private insurance companies
Knowledge of Billing Practices (ICD10)
