Job Overview
We are seeking a proactive and detail-oriented Construction Administrative Assistant to join our dynamic team. This vital role supports the smooth operation of our construction projects by managing administrative tasks, assisting with lien releases, permitting, pay applications, coordinating communication, and ensuring efficient office management. The ideal candidate will possess excellent organizational skills, strong computer literacy, and the ability to handle multiple responsibilities with professionalism and enthusiasm. This paid position offers an exciting opportunity to be an integral part of a thriving construction environment, contributing to project success and client satisfaction.

Responsibilities

Manage front desk operations, greet visitors, and direct phone calls using multi-line phone systems with professionalism and courtesy
Handle all incoming correspondence, emails, and inquiries promptly and accurately
Maintain organized filing systems for project documents, contracts, and confidential information
Perform data entry and bookkeeping tasks using QuickBooks and Microsoft Office applications to support project accounting and record keeping
Coordinate schedules, meetings, and appointments for project managers and team members
Assist with office management duties such as supply ordering, inventory tracking, and maintaining office equipment
Support client communication efforts by preparing reports, proofreading documents, and ensuring clear, professional correspondence

Qualifications

Proven office experience with strong clerical skills including filing, data entry, and document proofreading
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with QuickBooks for bookkeeping tasks
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong phone etiquette skills with experience managing multi-line phone systems and providing exceptional customer service
Bilingual abilities are a plus to facilitate communication with diverse clients and team members
Experience handling confidential information with discretion and professionalism
Personal assistant or administrative support experience within a construction or related industry is highly desirable
Demonstrated time management skills with the ability to multitask efficiently while maintaining accuracy
