Job Summary

We are seeking a detail-oriented Payroll Clerk to join our team. The ideal candidate will have experience with payroll processing using QuickBooks, bookkeeping and possess strong analytical skills. This position offers an opportunity to contribute to the efficient operation of our payroll and bookkeeping department.

Job Summary: __

H2B Payroll Data Entry and Processing:
Collect and review timesheets, work hours, and attendance records submitted by supervisors, managers or clients.
Accurately input employee hours, wages, and any overtime or merit bonuses into QuickBooks Desktop.
Calculate gross wages, deductions (taxes, insurance, retirement contributions), and net pay.
Ensure correct classification of workers under H2B visa requirements and applicable wage standards.
Compliance and Regulatory Adherence:
Verify visa status and employment authorization for H2B workers, ensuring payroll complies with Department of Labor (DOL), Department of Homeland Security (DHS), and other relevant agencies, if applicable.
Ensure adherence to prevailing wage requirements and proper documentation.
Prepare and submit required reports for visa compliance and payroll audits.
Tax and Benefit Processing:
Calculate and remit federal, state, and local payroll taxes and contributions.
Process benefit deductions such as health insurance, retirement plans, and other voluntary or mandatory benefits, if applicable.
Maintain records of tax filings, remittances, and employee benefit enrollments.
Record Keeping and Documentation:
Maintain detailed and organized records of employee information, visa documentation, work authorization, payroll history, and tax filings.
Generate payroll reports, summaries, and audit trails for internal review and external audits.
Handle record retention in accordance with legal and company policies.
Payment and Disbursement:
Issue paychecks, vouchers or direct deposits securely and on time.
Prepare and deliver pay stubs with detailed breakdowns of wages, deductions, and net pay.
Address any payroll discrepancies or issues promptly.
Communication and Support:
Respond to employee inquiries regarding payroll, taxes, or deductions.
Reconciliation of payroll expenses and financial reporting, if applicable.
Year-End and Reporting Responsibilities:
Prepare year-end payroll reports, including W-2s and 1099s, ensuring accuracy for all H2B workers.
Assist with audits related to payroll, visas, and employment compliance.
Ensure timely filing of payroll taxes and reports as required by law.
941 Reports Quarterly and Annually as well as State tax reports, if applicable
Continuous Improvement:
Stay updated on changes to payroll laws, visa regulations, and tax codes affecting H2B workers.
Identify opportunities to streamline payroll processes and improve accuracy.
Maintain familiarity with QuickBooks Desktop updates and best practices.
Additional Duties:
Perform other duties as assigned to support the agency’s mission and operational needs.
Your assigned payrolls need to be completed before you leave for the day.
