Position Summary
The Operations Coordinator plays a key role in supporting BCIC’s board governance, leadership team operations, eBridge Center operations, organizational compliance, and overall operational efficiency. This position serves as the primary coordinator for board-related activities, facilities oversight, operational tracking, and operational functions. The role works closely with the COO to help ensure effective coordination across departments, compliance with governance requirements, and smooth day-to-day organizational operations.
Essential Duties & Responsibilities
Board Liaison & Meeting Management
- Serve as the primary liaison for the BCIC Board of Directors, managing communications, meeting preparation, and board-related logistics to ensure seamless coordination and timely follow-up.
- Prepare and distribute agendas, meeting materials, and public notices in compliance with the Texas Open Meetings Act and applicable legal requirements.
- Act as Recording Secretary in relation to BCIC, ensuring accurate documentation of agenda items, official minutes, public comments, and board appointments.
- Track and monitor board member compliance with mandatory training requirements, including the Code of Ethics, Open Meetings Act, and Public Information Act.
- Handle Public Information Act (PIA) requests in coordination with the COO, ensuring timely and compliant responses in accordance with applicable legal requirements.
- Maintain official board records, governance-related files, and meeting minutes.
- Support the administration and maintenance of the OnBoard platform, including board member access, updates, and troubleshooting.
- Coordinate workshops, orientations, retreats, and special board sessions, ensuring materials, logistics, and communications are prepared and executed efficiently.
- Coordinate recognition for board member birthdays, anniversaries, and milestones.
- Track organizational action items, operational deadlines, board follow-up items, and implementation timelines to support organizational accountability and execution.
Facilities & Maintenance Management (eBridge Center)
- Oversee daily operations of the eBridge Center to ensure it is well-maintained, clean, and professional at all times.
- Serve as the primary contact for vendors, contractors, and service providers, including scheduling, monitoring, and overseeing facility repairs, improvements, and ongoing maintenance.
- Manage facility compliance by tracking and scheduling inspections, ensuring adherence to safety standards, and meeting all regulatory requirements.
- Track vendor agreements, service contracts, and inspection deadlines to ensure timely renewal and compliance.
- Track organizational deadlines, vendor agreements, and compliance-related operational requirements to ensure nothing falls through the cracks.
- Support scheduling and logistics for events, workshops, and meetings held at the eBridge Center.
- Monitor facility-related needs and communicate operational issues and recommendations to the COO as needed.
Organizational Asset & Inventory Management
- Maintain and oversee organizational inventory records for office equipment, furniture, technology, and operational assets.
- Conduct periodic inventory reviews and coordinate updates, replacements, and tracking of organizational assets.
- Ensure accurate and up-to-date documentation of all organizational assets in coordination with the Accounting Controller.
- Coordinate procurement and operational vendor processes in collaboration with the Accounting Controller and COO.
Executive & Administrative Support
- Provide operational coordination support to the COO with operational initiatives, administrative projects, implementation tracking, and cross-department coordination.
- Support onboarding logistics, office readiness, and operational setup for new hires.
- Oversee front office standards, ensuring a professional and welcoming environment is maintained at all times.
- Provide limited backup front office support during operational emergencies or staffing gaps
- Maintain confidential organizational records and sensitive documentation with professionalism and discretion.
- Maintain organized filing systems, recordkeeping, and administrative records.
- Assist in creating, updating, and maintaining Standard Operating Procedures to ensure all operations align with regulatory standards and organizational efficiency.
- Support administrative process improvements and organizational efficiency initiatives as directed.
Qualifications & Education
- Bachelor’s degree in Business Administration, Public Administration, Facilities Management, or related field preferred; relevant professional experience may substitute.
- Minimum of 3–5 years of administrative, executive support, board coordination, facilities management, or operations experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern communication tools (Slack, Zoom, Teams).
- Strong organizational, multitasking, and communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Familiarity with public records, Open Meetings Act, and Public Information Act requirements preferred.
- Bilingual (English/Spanish) strongly preferred.
- Valid Texas Driver’s License preferred.

Additional Requirements
- Occasional same-day and overnight travel may be required.
- Position may require occasional evening attendance for board meetings, workshops, or organizational events.
- Ability to perform light physical tasks, including lifting up to 25 pounds as needed.
- Must maintain reliable attendance and punctuality.
- Compliance with organizational policies, safety procedures, ADA requirements, and operational standards.
