Job Posting: Inventory & Receiving Coordinator - Supply Division

Location: Producers Cooperative Association – Bryan, Texas

Job Type: Full-Time
Reports to: Ag Supply Division Manager

Compensation: Competitive Hourly Based on Experience

About Producers Cooperative Association

For more than 75 years, Producers Cooperative Association has served Central Texas as the state's largest member-owned agricultural cooperative. Through our Supply, Feed, Agronomy, and Energy divisions, we provide products, services, and expertise to farmers, ranchers, homeowners, gardeners, and agricultural producers throughout the region.

Position Overview

To ensure accurate and efficient receipt of products into inventory by reconciling shipments with purchase orders and packing slips, identifying and resolving discrepancies, maintaining inventory accuracy, and supporting purchasing and inventory control functions. This position serves as a key communication link between receiving, purchasing, department managers, vendors, and store personnel to ensure products are accurately received, properly accounted for, and available for sale.

The Inventory & Receiving Coordinator works closely with the Purchasing Administrator and Head Purchaser and must possess strong organizational, communication, computer, math, and time-management skills, along with exceptional attention to detail and the ability to prioritize multiple responsibilities in a fast-paced environment.

Key Responsibilities

Receive and inspect incoming shipments for accuracy, quality, and condition.
Break down pallets and verify products against packing slips, purchase orders, and shipping documentation.
Accurately receive products into the inventory management system and maintain inventory integrity.
Identify, investigate, and resolve quantity, pricing, and shipping discrepancies.
Communicate receiving status and product availability to department managers and store personnel.
Coordinate with team members to ensure products are moved efficiently to retail departments or designated back-stock locations.
Create, reconcile, and close purchase orders as needed.
Work closely with the Purchasing Administrator and Head Purchaser to support inventory management and purchasing activities.
Manage vendor returns, credits, special orders, and inventory-related documentation.
Maintain accurate records and complete administrative tasks associated with receiving and inventory control.

Qualifications

Required Qualifications

Strong computer proficiency.
Strong basic math skills, including the ability to accurately calculate quantities, costs, pricing, and inventory adjustments.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Ability to effectively prioritize multiple tasks and manage time in a fast-paced environment.
Ability to work independently with minimal supervision while collaborating effectively with team members.
Demonstrated ability to maintain accurate records and complete administrative tasks with a high degree of accuracy.
Ability to identify discrepancies, solve problems, and follow issues through to resolution.
Commitment to providing excellent customer service and maintaining positive vendor and team relationships.

Preferred Qualifications

Experience in receiving, inventory control, purchasing support, warehouse operations, retail operations, or agricultural retail.
Experience working with inventory management, purchasing, or ERP systems.
Knowledge of agricultural, feed, livestock, farm, ranch, or retail supply products.
Experience reconciling purchase orders, packing slips, invoices, or shipment documentation.

Physical Requirements

Ability to regularly lift, move, and carry products weighing up to 60 pounds.
Ability to stand, walk, bend, twist, reach, and perform physical tasks throughout the workday.
Ability to safely unload and handle incoming shipments.
Ability to climb ladders and work at elevated heights when necessary.
Ability to work in warehouse, receiving, and outdoor environments as business needs require.

The Inventory & Receiving Coordinator serves as a trusted resource for inventory accuracy and receiving operations. Success in this role is measured by consistency, reliability, and the ability to ensure products are accurately received, documented, and communicated throughout the organization.

A successful employee will:

Maintain a high level of inventory accuracy through consistent and thorough receiving practices.
Ensure shipments are processed promptly and discrepancies are identified before they impact inventory, purchasing, or customer service.
Serve as an effective communication link between receiving, purchasing, vendors, and department managers.
Keep purchase orders, receiving records, vendor credits, and inventory transactions accurate and up to date.
Anticipate and address issues proactively rather than reacting after problems occur.
Create confidence among managers and team members that inventory information can be relied upon for purchasing and operational decisions.
Support efficient product flow by ensuring products are received and communicated to the appropriate departments in a timely manner.
Contribute to smooth inventory audits through accurate recordkeeping and attention to detail throughout the year.
Demonstrate ownership of the receiving process and a commitment to continuous improvement.
Be recognized as a dependable team member who consistently follows through on responsibilities and helps the Supply Division operate efficiently.

Work Schedule

This position requires flexibility to work retail hours, including some Saturdays and seasonal peak periods.
