Job Summary

We are a Physical Therapy Outpatient Clinic seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and clients, manage front desk operations, and provide essential administrative support. Your energetic approach and excellent communication skills will help ensure smooth daily operations, foster positive client interactions, and maintain an efficient office environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant professional setting.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression while managing front desk activities with professionalism and courtesy.
Answer calls and assist with scheduling clients
Manage appointment scheduling and calendar coordination using the Jane software app
Perform data entry, maintain filing systems, and update spreadsheets with accuracy using computer literacy and productivity software, as well as tracking of compliance data
Handle correspondence via email, word processing, proofreading, and document preparation to support office functions.
Assist with basic bookkeeping tasks such as invoicing or record keeping using QuickBooks or similar accounting software.
Support office management duties including supply inventory, filing, and organizing documents for optimal workflow.
Provide customer service support by addressing inquiries promptly and professionally, ensuring client communication is clear and effective.
Maintain a clean, organized front desk area while managing office supplies and equipment to promote productivity.
Collaborate with team members to improve office procedures, streamline processes, and enhance overall efficiency.
Opportunity to assist with and coordinate billing

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry.
Strong organizational skills
Previous experience as a receptionist or personal assistant is preferred; experience in medical or dental reception is advantageous.
Knowledge of bookkeeping or QuickBooks is beneficial for handling basic financial records.
Exceptional attention to detail for proofreading documents and managing files accurately.
Excellent time management skills with the ability to multitask efficiently while maintaining professionalism.
