Basic Function: Under the direction of the Residential Clinical Supervisor, the Evening Program Supervisor (PS) will communicate the needs of the Youth Support Specialists, and clients of the agency. The PS shall, as needed, fulfill the responsibility of a Youth Support Specialist while still providing supervision, coaching, mentoring, and role modeling to the YSS’s on duty. This role is both a hands-on role and one that provides direct supervision. The PS is responsible for overseeing and maintaining a safe/secure environment for clients, guests, and employees of Homespace by identifying and reducing potential risks. This position will also develop house routines, family traditions, and opportunities for parent/child bonding to take place. The PS is also responsible for ensuring that all principles and skills of associated philosophies related to client care, including Therapeutic Crisis Intervention (TCI) are being used regularly by all YSS’s and programmatic staff.

Essential Position Responsibilities:
Base schedule:
- Tuesday to Friday 3pm to 12am and either 4 hours anytime on Saturday or Sunday or 4 hours overnight Monday through Sunday between the hours of 12am and 7am.
- Flexible schedule is required for this position;
- Hours worked may vary to meet the needs of the programs
- Responsible for maintaining and ensuring client/staff ratios at both Second Chance Home and Next Step. Thus, the Evening Supervisor is expected to adjust his/her schedule as directed by their supervisor.
- Responsible to work unfilled YSS shifts, which may include evenings, weekends, and overnights pursuant to the 24-hour nature of the group homes and on an ongoing basis during staffing crisis.
- Bi-weekly daytime meetings may be required and will be scheduled in advance.
- Exercise independent judgment, communicate and interact professionally with others, can manage multiple tasks, and cope with stressful situations and hard deadlines.
- Contribute to agency effectiveness by working cooperatively with all interdisciplinary team members.
- Provide a welcoming and hospitable environment for all visitors of Homespace.
- Ensure that all residents and employees are treated in a fair, consistent, and dignified manner.
- Delegate and monitor daily documentation of all activity on each shift; ensure that the rights and dignity of each resident are always maintained.
- Promotes a positive image with the public, community, residents, and their supports.
- Accurately completes monthly fiscal reconciliation of expenses for Next Step and Second Chance Home ensuring that the reconciliation is submitted by the due date.
- Verify and approve all assigned YSS timecard punches in ADP minimally once per week, reaching out to any YSS who have discrepancies or missed punches and reconciling those concerns.
- Participate in clinical on-call rotation.
- All required/requested documentation must be on time (within 7 days of an event), clear and accurate.
Collaborates with Youth Support Specialists on the following:
- Conduct Reflective Supervision with assigned YSS. Provide YSS’s the opportunity to voice opinions and suggestions in productive, non-judgmental manner.
- Document all supervisions using the Reflective Supervision Form. Frequency of supervisions follow the Supervision Policy.
- Once monthly for part time and relief status YSS
- Twice monthly for full time status YSS.
- May be required to conduct more frequently, to be determined on a case by case basis.
- Ensure YSS are fulfilling specified roles of their position.
- Ensure the YSS's are coordinating, delegating (if appropriate), and providing transportation needs associated with all resident appointments and visitation.
- Recreational plans are being developed and residents are participating.
- Menus are being developed within the OCFS guidelines and are being followed. Reviews and approves all grocery shopping lists based upon monthly menus and household needs. Conducts and maintain inventories of purchases.
- Train and monitor YSS's to communicate and work effectively with team members.
- Maintain a safe, comfortable therapeutic, and trauma-informed environment by role modeling and ensuring that all components of therapeutic philosophies are being utilized daily by all YSS’s including but not limited to:
- Therapeutic Crisis Intervention
- Trauma Informed Care Model
- Parenting and Positive Child Development Practices
- Facilitates youth/staff mediation as needed.
- Model and ensures all YSS's communicate any concerns related to safety and imminent risk.
- Ensure all YSS's are maintaining a safe and clean work area including performing general house chores; provide direction as needed.
- Model and ensure the YSS’s are following all policies, procedures, and documentation requirements related to medication management.
- Train YSS to conduct fire drills at each site and ensure that YSS at each site conduct monthly unannounced fire drills on a shift rotating basis.
- Ensure that fire drills are completed when each new resident moves into any program, and/or when any staff person starts working at any site.
- Monitor the documentation of such fire drills and brings concerns regarding the fire drills or the fire alarm systems to the attention of the Clinical Supervisor and Maintenance Department.
- Role model discussions, mentor and coach all YSS's to discuss with clients their strengths related to interpersonal skills (i.e., communication, emotional management, coping skills, healthy relationships, etc.), independent living skills, and parenting.
- Model and ensure that all YSS’s use a strengths-based and individualistic approach with all residents.
- Model and ensure that all YSS protect and maintain resident’s rights by keeping personal information confidential.
- Ensure oversight and support as needed with resident house meetings, agenda, and meeting minutes.
- Ensure that all Homespace policies, procedures, and resident handbooks are properly interpreted and enforced.
- Model and ensure that YSS’s meet expectations of timeliness and accuracy of all documentation requirements, (i.e., daily shift notes, daily communications, critical incident reports, PSR/CPST documentation, etc.).
- Review all critical incident reports and AWOL reports.
- Assists all YSS with understanding ways to improve clarity and consistency in documenting, assists all YSS with properly composing and saving these documents.
- Coaches, mentors and assists all YSS in regards to making calls related to these documents, such as but not limited to: guardians, OCFS, counties of origin, Justice Center, Buffalo Police, State Central Registry. May at times have to make these calls themselves.
- Complete performance evaluations for assigned staff on time; six months and annual.
- Engage in regular supervision with the Clinical Supervisor and communicate all issues involving the YSS’s and residents in a timely manner (emergencies and suspected abuse / neglect immediately).
- Coordinates YSS’s schedules and tracks absences and tardiness.
- Remain abreast of the clinical planning for and needs of all residents by reviewing and understanding Client Centered Team Meeting Minutes, Service Plan Review Meeting minutes, Behavior Support Plans, Individualized Crisis Support Plans, and Safety Plans. Teaches YSS to do the same and / or communicates these things with YSS.
- Participate in administrative meetings, staff meetings and community circles as directed.
- Coordinate with the Training Specialist to know when each employee is due to complete trainings (i.e.: CPR, TCI, Sexual Harassment) and communicates these needs to all YSS.
- Ensure they themselves and all YSS staff complete their annual employment physicals, annual SCR checks, sign off on the Justice Center COC and submit their updated vehicle insurance information.
- Ensure they themselves and all YSS staff sign off on all necessary policies, procedures and handbooks as directed by the Clinical Supervisor, Director of Services or Executive Director.

- Must attain and maintain TCI (Therapeutic Crisis Intervention) Trainer status and CPR/FA status and participate in all staff trainings/mandatory trainings deemed necessary for the position, and utilize skill set consistently throughout the duration of employment (i.e.: TCI).
- Maintain open communication with all employees to promote internal strengths and encourage individualization.
- Ensure that all records are in compliance with expectations, regulations, and recommendations.
- Ensures provision/acquisition of needs related to Next Step and Second Chance Home.
- Maintains upkeep through monitoring the sites on a weekly basis for safety and maintenance concerns and updates the Maintenance Department, as necessary.
- Adhere to all aspects of the Homespace Employee Handbook.
- Assist in furthering the mission, policies, and procedures of Homespace as a whole.
- Perform all other duties as assigned by the Clinical Supervisor, Director of Services and/or Executive Director.
Minimum Qualifications:
Associate degree or (2) two years post High School education with minimally (2) two years of experience working in Child Welfare/Human Services and (2) two years in a supervisory role. Foster Care and/or Residential experience is a plus. Bachelor’s Degree preferred.
Plus:
- Valid New York State driver’s license and an ability to transport. Personal Transportation Necessary. If driving one’s own vehicle, must maintain valid inspection and automobile insurance. Must provide proof of insurance upon hire and when requested.
- Working hours will vary to meet programmatic needs, flexibility is essential.
- Ability to carry, lift, or hoist heavier objects at times, including children. Must have mobility enough to regularly climb at least one flight of stairs, utilizing multiple levels.
- State mandated background checks to include the following: Clearances through the NYS Central Register, the NYS Sex Offender Registry, NYS Justice Center Staff Exclusion List, fingerprinting, and criminal history check from IndentoGo, NYS OMIG Medicaid Exclusion List, monthly Medicaid Exclusions database check and the SS Death Master Check.
- Completion of a work physical upon hire and yearly thereafter.
