Full Job Description

Overview: I am seeking a detail-oriented, proactive, and trustworthy Executive Assistant to support my real estate and various entrepreneurial business ventures. This is a hybrid role focused on keeping the day-to-day operations of the business organized — from scheduling and client communication to marketing support and lead follow-up — so that more time can be spent on client-facing and revenue-generating activities. This role is unlicensed. The assistant will not show properties, host open houses, negotiate offers, or discuss contract terms with clients or other agents, as these activities require a real estate license under state law. All licensed activities remain the responsibility of the agent/broker. (If interested in earning or already have your license, this role will change as well along with income opportunities).

Key Responsibilities:

Administrative & Scheduling Support

Manage and maintain the agent's calendar, including showings, listing appointments, closings, networking events and personal commitments.
Schedule and confirm appointments, inspections, photography sessions, and vendor visits.
Monitor and respond to routine email correspondence; flag priority items for the agent's attention..
Prepare, organize, and file transaction paperwork, disclosures, and closing documents (non-licensed clerical support only).
Track important deadlines (inspection periods, financing contingencies, closing dates) and send reminders.
Order and manage office/marketing supplies, signage, and lockboxes.
Schedule post installs and removals. Sometimes after closings, drive and pick up the signs and lockboxes from properties.
Assist with tracking sales goals, monthly revenue reviews and pipeline updates.

Client & Lead Management

Maintain and update the CRM with new leads, client details, and communication history.
Follow up with new leads via email/text to gather information and schedule initial calls with the agent.
Prepare client-facing materials such as buyer/seller guides, welcome packets, and closing gifts coordination.
Track client birthdays, home purchase anniversaries, and other relationship-building touchpoints.
Plan and execute two client appreciation events, one for the spring and one for the fall.

Marketing & Listings Support

Draft and schedule social media posts across platforms (Instagram, Facebook, LinkedIn, etc.).
Create and update listing flyers, brochures, and just-listed/just-sold announcements.
Coordinate professional photography, videography, and staging appointments for new listings.
Enter and update listings in the MLS under agent supervision.
Maintain the brand across all media platforms (zillow, realtor, homes.com, etc).
Assist with email newsletters and drip marketing campaigns.
Track marketing performance metrics (engagement, leads generated, ad spend) and report monthly summaries.

Personal Assistant Area

Check in with her real estate investments - consistently varying tasks.
Help grow the Membership for one of her Commercial businesses
Track and organize mail, conference room calendar, scheduling and communication

Qualifications & Skills:

Required

A positive attitude :)
Excellent written and verbal communication skills.
Highly organized with strong attention to detail and follow-through; anticipate needs ahead of time.
Comfortable managing multiple priorities and deadlines independently.
Tech-savvy and able to quickly learn new software and tools and social media platforms.
Trustworthy with confidential client and financial information.
Works with integrity as our reputation is everything in this business.

Preferred

Familiarity with real estate transactions, terminology, or the home-buying/selling process.
Experience with a CRM platform
Experience with design tools such as Canva for marketing materials.
Experience with MLS systems and real estate listing syndication.
Social media management experience for a business or personal brand.

Work Arrangement & Availability:

Work Schedule: Mon - Fri 9-4, can work from home or with me in Mt Holly NJ
Work Location: Remote/Hybrid - Weekly in person meetings or errands may be requested
Response Time: Emails and messages should be acknowledged within 1 hour during work hours
Availability: Some flexibility for occasional evenings/weekends may be needed around client or networking events
Equipment: Laptop, Active Cell Phone, Drivers License and working vehicle.

Represent the business professionally in every client and vendor interaction.
Maintain strict confidentiality regarding client information, financials, and business strategy.
Communicate proactively — flag issues, delays, or questions before they become problems.
Meet deadlines consistently, especially those tied to transaction timelines.
Bring a solutions-oriented mindset; anticipate needs rather than waiting to be asked.
Provide a weekly summary of completed tasks, upcoming deadlines, and any blockers.
Adhere to all applicable real estate licensing laws — never engage in activities that require a license.

Compensation & Growth Opportunities:

Compensation: $20/hour - track your hours worked and submit with your weekly summary of activity

Review Period: 90-day performance review

Pay: $35,000.00 - $50,000.00 per year
