Job Overview

We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and attention to detail will help create a positive first impression for visitors, clients, and team members alike. Duties

Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel welcomed and valued
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness
Maintain organized front desk area, including filing, data entry, and document proofreading to support office operations
Utilize office management software such as Microsoft Office suite (Word, Excel) and QuickBooks for record-keeping and data tracking
Schedule appointments, manage calendars, and coordinate meetings to optimize organizational productivity
Support clerical tasks such as scanning, preparing spreadsheets, and maintaining client communication records with precision

Qualifications

Proven experience in office administration or reception roles with strong organizational skills
Proficiency in Microsoft Office programs (Word, Excel), spreadsheets, and productivity software
Technical proficiency with computer literacy including data entry, filing systems, and general office equipment
Excellent customer service skills with the ability to communicate effectively via phone and in person
Bilingual abilities are highly desirable to serve diverse client needs effectively
Knowledge of multi-line phone systems and office management practices is preferred
Strong time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail
Maintain the confidentiality of clients
