Job Overview
We are seeking a highly organized and proactive Administration Assistant with a focus on Marketing Sales to join our dynamic team. This role involves supporting daily office operations, managing client communications, and assisting with marketing initiatives. The ideal candidate will possess strong administrative skills, excellent communication abilities, and experience in office management and customer service. Bilingual proficiency is a plus, enabling effective interaction with diverse clients and team members. This position offers an opportunity to contribute to business growth while developing valuable professional skills in a fast-paced environment.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
Coordinate calendar management and appointment scheduling for team members and clients
Support marketing sales efforts through outreach, follow-up communications, and promotional activities
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Provide customer support via phone, email, or in-person inquiries, maintaining excellent phone etiquette
Handle office management duties such as supply inventory, filing systems, and general administrative support
Support personal assistant tasks as needed, including calendar management and task prioritization

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
Experience with QuickBooks or similar bookkeeping software is preferred
Excellent communication skills with strong phone etiquette; bilingual ability is advantageous
Strong organizational skills with attention to detail; ability to multitask effectively
Previous experience in customer service or customer support roles preferred
Ability to manage time efficiently and prioritize tasks in a fast-paced environment
Office management experience including filing systems and data entry is desirable

This position is paid and offers an engaging work environment where your administrative expertise will directly contribute to the success of our marketing sales initiatives.

Pay: $20.00 - $28.00 per hour

Expected hours: 20.0 – 40.0 per week
