Full Job Description

School Receptionist

The School Receptionist is responsible to the Principal/Assistant Principal of Operations for the smooth operation of school communication systems in the school and Main office operations. The School Receptionist should be organized and have strong interpersonal, multitasking, and time-management abilities while always modeling and promoting a professional and welcoming environment.

Responsibilities include but are not limited to:

Act as an ambassador of PMA, ensuring interactions reflect the institution's values and mission.
Ensures appropriate personnel coverage of the main office at all times to provide the best possible service to all
Greets all guests warmly, determines their needs, and directs them appropriately.
Answers, screens, and routes incoming phone calls, and responds to general email inquiries.
Communicates general School information to parents, students, faculty, staff, and the general public.
Maintains a high degree of confidentiality regarding all aspects of the school site operation.
Supports the re-enrollment, new registration, and admissions process by providing information to families
Monitors visitors, implements visitor sign-in procedures, and ensures the security of the school premises.
Helps with emergency responses, building evacuations, and ensures visitors are accounted for
Keeps a daily log of student early sign-outs.
Complete first aid training to be able to administer first aid treatment to students, staff and visitors and oversee student self-administration of medication where required, in accordance with Archdiocesan Policy.
Handles incoming mail, packages, and deliveries, distributing them to the appropriate recipients and ensuring outgoing mail is sent promptly.
Update and maintain student and administrative files
Orders and maintains office/school supplies, paper, forms, and other materials.
Keeps the Main Office bulletin boards up-to-date.
Coordinates parent volunteers & Tracks parent hours
Performs a wide variety of secretarial work, including typing/word processing, proofreading, filing, recording information, and processing
Maintains a variety of computerized and manual records, files, and department databases (e.g., information packets, rosters/listings, calendars, outstanding supply orders, etc.) for the purpose of documenting activities, providing reliable information
Assists the Attendance Clerk with processing late arrivals, early dismissals, and managing tardies & student attendance when needed
Assists the Principal with special events or projects.
Performs any other duties assigned by the Principal.

Qualifications:

Ability to communicate in Spanish and English
Ability to use office software and office equipment, including Microsoft Word, Excel, School Information Systems, Google Applications, school-related software, copies, and fax machines
Experience with handling constant interruptions, inflexible deadlines, and changes to normal routines

Education and Experience

Bachelor's Degree, preferred
Proven demonstration of excellent telephone and interpersonal skills
Proven demonstration of ability to handle multiple tasks simultaneously
Experience of working in a customer-facing role
Experience of working in an office/school environment
