About the Position

We are a growing startup looking for a dependable and organized Office Assistant to help keep our office and field operations running smoothly.

This is an administrative role that will work closely with both office and field staff. The ideal candidate is someone who enjoys staying organized and multitasking, helping others, solving problems, and keeping things moving in a fast-paced environment. This position will play an important role in supporting our crews, maintaining our office, and helping create a positive experience for both employees and customers.

Key Responsibilities

Administrative & Office Support

Enter and organize crew receipts, purchases, and other company expenses
Maintain accurate records and documentation
Assist with general administrative tasks and day-to-day office operations
Provide administrative support to management and staff as needed
Help keep office systems, files, and information organized

Reception & Customer Service

Answer and direct incoming phone calls in a professional and friendly manner
Greet visitors, customers, vendors, and employees
Respond to basic questions and direct requests to the appropriate team member
Provide a welcoming and professional first impression of the company
Assist with customer service and communication as needed

Fleet & Field Support

Assist with day-to-day fleet management and vehicle records
Help track vehicle maintenance, registrations, inspections, and related documentation
Support field crews with administrative needs and supplies
Help communicate important information between the office and field teams
Assist with keeping crews equipped and prepared for their work

Office & Supply Management

Maintain a clean, organized, and professional office environment
Monitor office, field, and general-use supplies
Order and restock supplies as needed
Help ensure employees have the materials and resources they need to do their jobs

Team Support & Employee Appreciation

Help coordinate staff appreciation efforts, celebrations, and company events
Support employee recognition and team-building activities
Be a dependable resource for both office and field employees
Assist with various projects and responsibilities as the company continues to grow

Recommended Qualifications

Previous experience in office administration, customer service, reception, or a similar role
Experience handling phone calls and communicating professionally with customers and employees
Strong customer service and communication skills
Highly organized and able to manage multiple tasks at once
Comfortable working in a fast-paced and constantly changing environment
Ability to work well independently while also being a strong team player
Dependable, positive, and willing to jump in wherever help is needed
Strong attention to detail and follow-through
Comfortable learning new software, systems, and processes
Proficient with basic computer programs such as email, Microsoft Office, Google Workspace, or similar tools
