Overview

We are seeking a dynamic and personable Front Office Assistant to join our team! This energetic role is vital in creating a welcoming environment for clients, visitors, and staff while ensuring smooth daily operations. As the first point of contact, you will manage front desk activities with enthusiasm and professionalism, supporting office management and providing exceptional customer service. Your technical proficiency and organizational skills will help keep our office running efficiently and effectively. This paid position offers an exciting opportunity to develop your administrative expertise in a vibrant workplace setting.

Responsibilities

Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression
Answer multi-line phone systems promptly, professionally directing calls or taking messages as needed
Manage front desk operations including filing, data entry, and maintaining office supplies inventory
Utilize office management software and productivity tools such as Microsoft Office, spreadsheets, and Word processing programs to support daily tasks
Schedule appointments, manage calendars, and coordinate meetings with precision and attention to detail
Handle incoming correspondence, emails, and inquiries with clarity and courteous communication
Maintain organized records through filing systems, data entry, and accurate document management
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when necessary

Experience

Proven office experience or administrative support background demonstrating strong organizational skills
Familiarity with multi-line phone systems and phone etiquette to ensure professional communication
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency
Experience in customer service roles that involve client communication and support
Ability to perform data entry accurately while managing time effectively in a fast-paced environment
Bilingual skills are highly desirable to assist diverse client needs
Personal assistant or front desk experience that includes calendar management and office management responsibilities
