Full Job Description

Job Summary

We are seeking a dependable and detail-oriented Accounts Payable and Administrative Assistant to support our accounting department and provide general administrative assistance to the office. This position is responsible for day-to-day accounts payable activities, maintaining accurate vendor and accounting records, assisting with documentation and reporting, and providing administrative support as needed.

Key Responsibilities - Accounts Payable

Process vendor invoices accurately and timely.
Match invoices to purchase orders, receiving documentation, and other supporting records.
Review invoices for proper approval, coding, quantities and pricing.
Enter invoices and other transactions into the company's ERP / accounting system.
Maintain accurate vendor records and supporting documentation.
Review vendor statements and research discrepancies.
Communicate with vendors regarding invoices, payments, credits, and account questions.
Assist with obtaining and maintaining vendor W-9 forms and other required documentation.
Maintain organized electronic and physical accounting records.

Key Responsibilities - Administrative Support

Perform general data entry and maintain company records.
Scan, file, organize and retrieve documents.
Assist with incoming mail and correspondence.
Prepare spreadsheets, reports and other documents.
Assist with purchasing and vendor documentation as needed.
Provide general office and administrative support to accounting and management.
Assist with special projects and other duties as assigned.

Qualifications

High school diploma or equivalent required; associate degree in Accounting, Business Administration, or a related field preferred.
1-3 years of accounts payable, accounting, bookkeeping, or related office experience preferred.
Experience in a manufacturing or industrial environment a plus.
Proficiency with Microsoft Excel, Outlook and general Microsoft Office applications.
Experience with ERP or accounting software preferred.
Strong attention to detail, accuracy, organization and time-management skills.
Strong written and verbal communication skills.
Ability to handle confidential financial and business information appropriately.
Ability to work independently while also supporting a team.

Pay: $23.00 - $27.00 per hour
