Full Job Description

Position Purpose: To perform a wide variety of responsible clerical and bookkeeping duties which support the management of Care a lot Child Care office activities, as well as to assure smooth and efficient child care office operations. Additionally, the Office Assistant is the central figure in providing a friendly, organized, and professional office environment. The Office Assistant will work in accordance with all laws and regulations governing Child Care Centers, New York State employment laws, and generally accepted accounting methods.

Essential Job Responsibilities:

· Manage the front office of the child care center which includes coordinating and managing a variety of office activities to assure smooth and efficient child care office operation.

· Coordinate communication between the Site Director and staff, children, parents, and outside organizations. Greet visitors and receive telephone calls, provide information concerning the center, policies, procedures, actions, activities, and programs. Request necessary information and take and transmit messages as appropriate.

· Prepare and accurately maintain a variety of reports and files concerning child and parent information. Children’s records: Notice of Decisions, immunizations, blue cards, and enrollment. Parent records: inquiries, tours, tuition rates, and collections.

· Register new children according to established procedures; enter child information into Procare. Maintain accurate enrollment figures for existing and potential children.

· Maintain accounting policies and procedures in Procare. Complete weekly/monthly accounting duties; tuition billing, deposits, Electronic Fund Transfers, and Aging Accounts Receivable Report.

· Create and maintain bus schedules with surrounding school districts and Care a lot buses.

· Assist in coordinating field trips within the center. Collect funds and permission slips when needed.

· Liaison amongst the various leadership staff within the organization to assure efficiency, quality, and cost-effective management of resources.

· Track inquiries and report on outcomes.

· Facilitate ordering of supplies, food, and paper products

· Receive and distribute incoming mail and deliveries

· Assist children in pick up/drop of school transportation and field trips.

· Complete supply and book club orders, and maintain petty cash of the center.

· Complete special and additional office tasks as assigned.

· Assist in classroom as needed.

Community Relations

· Establish and maintain effective working relationships with staff of Care a lot. Assure the adequate flow of information in all directions so that each group is well informed and well heard.

· Maintain professional relationships with parents, vendors, banking, and community relations.

· Represent Care a lot on a professional basis when attending community meetings and seminars.

Professional Development

· Attend professional development training seminars as offered. (Obtain certification in areas of CPR, First Aid, and MAT training. Stay current with Care a lot policies, OCFS regulations, and accreditation guidelines).

Communication

· Daily in person contact with directors, families, case workers, staff, and members of the leadership team to exchange information related to operation of child care program.

· Written correspondence, issue letters, memos, emails in correspondence to policies/procedures and feedback, as well as disseminate general information.

Qualifications:

Education: An accredited two-year college or university with specialization in Accounting, Business, or Related Field is preferred.

Experience: Knowledge of accounting principles and policies. Some knowledge of the organization, operation and general administration of child care facilities or related operation. Ability to use conflict resolution techniques with a variety of circumstances and individuals. Ability to communicate effectively and to interpret Child and Elder Care rules, policies, and procedures accurately.

Skills:

Strong administrative, interpersonal, oral and written communication skills.

Flexible to varied assignments and willingness to take direction from others.

Ability to pay attention to details and follow instructions.

Current First Aid and CPR certifications are required, or willingness to complete within the first year

Positive attitude with the ability to integrate into a team to work towards the mission and goals of Care a lot.

Pay: $17.00 - $20.00 per hour
