Full Job Description

Owens Pump & Equipment (OPE) is seeking a detail-oriented Accounting Clerk / Administrative Assistant to support our accounting, purchasing, and administrative operations. This role plays a key part in managing vendor transactions, customer invoicing, and coordinating internal workflows tied to equipment sales.

This position requires someone comfortable working inside an ERP system (Zoho environment), handling multi-vendor purchase orders, tracking freight, and ensuring accuracy from quote → sales order → purchase order → invoice.

OPE specializes in heavy-duty pumps and wastewater equipment. We do not sell to the general public—our focus is supporting professional operators, engineers, and public works departments.

Key Responsibilities

Accounting & Finance

Process accounts payable
Process accounts receivable, invoicing, and collections follow-up
Reconcile expenses, credit cards, and bank accounts
Support month-end close and reporting
Maintain accurate financial and vendor records

Sales Order & Purchasing Workflow

Convert sales orders into invoices
Review orders for pricing, freight, and special requirements
Ensure accuracy and completeness of invoices
Maintain clear linkage between sales orders and purchase orders
Communicate with vendors on order status, lead times, and confirmations

Administrative Support

Answer phones and route inquiries
Sales prep & organization for trade shows
Maintain organized digital records (quotes, POs, invoices)

Qualifications

1–3 years of accounting, bookkeeping, or administrative experience
Experience with ERP/accounting software (Zoho preferred; e.g., Zoho Books)
Strong understanding of purchase orders and vendor workflows
Proficiency in Microsoft Excel, Word, and Outlook
High attention to detail and accuracy
Strong organizational and communication skills
