Overview

We are seeking a dynamic and highly organized Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Duties

Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel valued from the moment they arrive
Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
Handle data entry tasks with precision using spreadsheets, Microsoft Office tools, and Google Workspace applications
Maintain organized filing systems, including electronic documents and paper records, supporting overall office management
Schedule appointments and manage calendars for staff or medical/dental practitioners as needed
Assist with bookkeeping tasks such as invoicing or basic financial record keeping using QuickBooks or similar software
Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email

Skills

Proven experience in office management, clerical work, or administrative support roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and collaboration
Excellent computer literacy including data entry, proofreading, and familiarity with productivity software
Strong communication skills in both verbal and written formats; bilingual abilities are a plus for diverse client interactions
Experience with multi-line phone systems and phone etiquette to handle high call volumes smoothly
Ability to multitask efficiently while maintaining attention to detail in fast-paced environments
Knowledge of front desk procedures in medical or dental settings is advantageous but not required
Personal assistant or calendar management experience to coordinate schedules effectively
Technical proficiency with office equipment such as printers, scanners, and fax machines
Demonstrated time management skills to prioritize tasks effectively throughout the day
