Job Summary
We are seeking a dynamic and highly organized Client Services & Office Coordinator to join our team. This role is essential in ensuring smooth office operations, delivering exceptional customer support, and managing client interactions with professionalism and enthusiasm. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact for visitors and clients, coordinate administrative tasks, and support office management functions to foster a welcoming and efficient environment.

Responsibilities

Greet visitors, clients, and vendors warmly while managing front desk operations with professionalism and courtesy
Answer and direct multi-line phone systems promptly using proper phone etiquette
Handle client concerns professionally, including sensitive or complex situations such as billing or compliance matters
Manage calendar scheduling, appointment setting, and coordinate meetings using Microsoft Office tools and other calendar tools
Perform data entry, maintain filing systems, and ensure accurate record keeping with attention to detail
Handle bookkeeping tasks utilizing QuickBooks or similar accounting software, including invoicing and expense tracking
Support office management activities such as supply ordering, maintaining office equipment, and organizing files
Provide customer support by addressing inquiries via phone or email, ensuring timely follow-up and resolution
Assist with clerical duties including proofreading documents, preparing reports, and managing correspondence
Maintain a clean, organized reception area to promote a professional environment
Support personal assistant tasks such as calendar management and travel arrangements as needed
Integrity and Confidentiality - committed to handling sensitive financial information with descretion

Experience

Prior office experience in administrative or clerical roles with a focus on customer service; Demonstrates responsiveness, attentiveness, and the ability to build long-term trust with clients
Proven experience managing multi-line phone systems and front desk operations
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Familiarity with QuickBooks or similar bookkeeping software is preferred; solid understanding of financial statements and basic tax and audit concepts also preferred.
Technical Proficiency: Experience with Microsoft Office with proficiency in Outlook, Excel and Word. Familiarity with QuickBooks, Lacerte, OfficeTools, Canopy, PowerPoint and standard collaboration tools a plus.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously
Previous experience supporting office management or personal assistant functions is a plus
