Full Job Description

The Business Office Manager (BOM) oversees the financial and administrative operations of the assisted living community, ensuring efficiency, compliance, and financial stability. This role is vital in maintaining accurate records, supporting residents and their families, and collaborating with staff to enhance overall community operations. The BOM plays a key role in ensuring a smooth workflow while upholding the highest standards of service and care.

Key Responsibilities

Financial Management

Oversee accounts receivable and payable, including resident billing, invoicing, and vendor payments.
Prepare monthly financial reports, assist with budget forecasting, and ensure adherence to financial policies.
Manage payroll processing, track employee hours, and address payroll-related inquiries.
Monitor resident accounts, ensure timely payments, and resolve billing concerns.

Human Resources & Staff Support

Assist with employee onboarding, maintain personnel records, and ensure compliance with HR policies.
Track staff credentials and certifications, ensuring state and company compliance.
Support benefits administration and respond to employee payroll and benefits inquiries.

Administrative & Operational Support

Maintain organized and accurate records, including resident contracts, staff files, and compliance documentation.
Manage office operations, including ordering supplies, overseeing office equipment, and coordinating maintenance needs.
Assist the Executive Director with special projects and serve as a liaison with vendors.

Resident & Family Relations

Serve as the primary contact for residents and families regarding billing, financial matters, and administrative support.
Provide exceptional customer service, addressing concerns with professionalism and efficiency.

Regulatory Compliance

Ensure business office operations comply with local, state, and federal regulations, as well as company policies.
Maintain all required documentation for audits and regulatory inspections.

Qualifications & Experience

Minimum 2-3 years in business office or administrative management, preferably in healthcare or senior living.
Proficiency in accounts receivable/payable, payroll, and financial reporting.
Strong organizational and time management skills.
Proficient in Microsoft Office Suite and accounting software.
Excellent communication and interpersonal skills.
Detail-oriented with the ability to multitask in a fast-paced environment.
Familiarity with assisted living regulations and compliance preferred.

Work Environment

Full-time, on-site position in a professional office setting.
Works closely with the Executive Director, residents, families, and staff to ensure seamless community operations.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
