Full-Time, Permanent | Cape Coral FL area (regular in-person days required) with travel within USA and Canada as required

Reports to: Founders

We are conducting a confidential search on behalf of private business owners. Additional details about the principals and organization will be shared with candidates who progress through the interview process.

About the Role

This is a personal assistant role supporting busy founders and business owners. You'll work directly for the owners—not for a company—though from time to time that means supporting work connected to the business.

The role blends calendar and inbox ownership, follow-through on commitments, and turning what's in the owners' heads into a clear, organized, and actively managed system of decisions and next steps. It also includes coordinating personal and family logistics where they intersect with the owners' time and energy.

Success in this role comes from anticipating needs, creating structure, and identifying what needs attention before being asked. The job is to notice what hasn't been said yet—the open loop still living in someone's head—and get ahead of it before it becomes a dropped ball or a source of unnecessary stress.

The right person is highly organized, calm under pressure, exceptionally discreet, and comfortable working in an environment where business and personal priorities naturally overlap.

Core Responsibilities

Calendar, Communication & Follow-Through

Own and proactively manage the owners' calendars, protecting their time and ensuring priorities come first.
Manage inbox triage and time-sensitive communications.
Run regular "download" sessions with the owners to capture everything they are carrying mentally and convert it into a clear, actionable system.
Own that system going forward—track commitments, follow up, close completed items, and intentionally escalate decisions that require the owners' input.
Prepare the owners for meetings, appointments, and calls.
Ensure commitments made by the owners are followed through on and nothing falls through the cracks.
Respectfully challenge over commitment and help create realistic schedules with adequate margin.

Personal & Family Logistics

Coordinate household and childcare logistics where they impact the owners' schedules, including appointments, family calendars, and childcare arrangements.
Maintain a clear view of personal, family, and business commitments so the owners do not need to mentally manage those moving pieces.
Coordinate with both owners on shared priorities while maintaining appropriate boundaries.
Arrange services, bookings, travel, reservations, and other logistics as required.
Assisting with personal and family errands, appointments, and other logistical tasks as required.

Travel & Administrative Support

Coordinate travel planning, itineraries, accommodations, transportation, and supporting logistics.
Accompany the owners on trips when additional coordination or administrative support is required.
Support both Canada and USA based operations and schedules as needed.
Handle confidential documents and sensitive information with exceptional discretion.

Travel Requirements

This role requires flexibility to travel as part of supporting the owners.

Travel within Cape Coral region.
Travel to Canada, must be legally eligible to travel to the Canada and maintain a valid passport.

What This Role Is Not

Light personal logistics support may occasionally be required, but the primary purpose of this role is keeping the owners organized, prepared, and focused.
This is not an entry-level assistant position. We are looking for someone who already operates proactively with minimal direction.
This is not a traditional administrative role where work is assigned task by task. Success comes from anticipating needs before they become problems.

You’ll Stand Out if…

5+ years of experience as a Personal Assistant and/or Executive Assistant supporting senior executives, founders, entrepreneurs, or business owners.
Demonstrated success proactively identifying, organizing, and managing someone else’s priorities and open loops—not simply responding to assigned tasks.
Strong systems for capturing, tracking, and closing commitments using digital productivity tools.
Exceptional organizational skills and the ability to manage multiple competing and shifting priorities.
Comfortable operating in ambiguity, anticipating needs, and creating structure without relying on a fixed task list or constant direction.
Exceptional discretion and sound judgment when handling confidential personal, family, and business information in a blended environment.
High emotional intelligence, strong communication skills, and the confidence to respectfully challenge priorities or hold others accountable when needed.
Comfortable traveling regularly within Canada and USA
Legally able to travel throughout Canada and to the United States and maintain a valid passport.
Valid driver’s licence and reliable transportation.

What Success Looks Like (First 90 Days)

The owners' calendars reflect strategic priorities—not whoever asked first.
Every commitment has a clear owner, next step, and follow-up plan.
Meetings are prepared for in advance, with no last-minute scrambling.
The owners spend significantly less mental energy remembering what still needs attention.
Personal and business logistics run smoothly with minimal intervention from the owners.
Travel is seamless, well-organized, and fully coordinated.
Trust is established through consistent follow-through, discretion, and sound judgment.
