Full Job Description

Dental Office Manager Position Overview

We are seeking an experienced, organized, and motivated Dental Office Manager to oversee the daily operations of our growing dental practice. The ideal candidate will be a strong leader with excellent communication skills, extensive knowledge of dental office administration, and proficiency in Denticon. A candidate who is bilingual in English and Spanish is highly preferred to help support our diverse patient population.

Responsibilities Practice Operations

Manage and oversee all daily front-office and administrative operations.
Ensure efficient patient scheduling, treatment coordination, and office workflow.
Monitor patient satisfaction and implement strategies to improve the patient experience.
Maintain a welcoming, professional, and patient-centered environment.

Team Leadership

You will be the only front desk employee, with support from a back office insurance team. They will send claims and follow up, while your role would be patient billing.
Conduct employee performance evaluations and assist with staff development.
Foster a positive team culture focused on accountability, collaboration, and exceptional patient care.
Coordinate staff schedules and ensure adequate office coverage.

Financial Management

Oversee patient billing, collections, insurance verification (done through AI), and accounts receivable.
Monitor office financial performance and assist with budgeting and revenue goals.
Review reports and key performance indicators to identify opportunities for growth and improvement.
Ensure accurate posting of payments and reconciliation processes.

Compliance & Administration

Maintain compliance with HIPAA, OSHA, and all applicable healthcare regulations.
Ensure accurate documentation and management of patient records.
Oversee office policies, procedures, and administrative processes.
Support providers and staff in maintaining efficient clinical and administrative workflows.

Technology & Systems

Utilize Denticon Practice Management Software (PMS) to manage scheduling, reporting, patient accounts, insurance processing, and practice operations.
Generate and analyze reports to track productivity, collections, case acceptance, and other performance metrics.
Troubleshoot workflow issues and identify opportunities to improve operational efficiency.

Qualifications Required

Minimum of 3 years of dental office management experience.
Strong knowledge of dental office operations, insurance processes, billing, and collections.
Experience using Denticon PMS.
Proven leadership and team management experience.
Excellent organizational, problem-solving, and communication skills.
Knowledge of HIPAA, OSHA, and dental practice compliance standards.
Ability to multitask and thrive in a fast-paced environment.

Preferred

Bilingual in English and Spanish.
Experience with treatment planning and case presentation.
Knowledge of dental coding and insurance claim management.
Experience managing key performance indicators (KPIs) and practice growth initiatives.
