Full Job Description

Seasoned Multifamily Construction Administrator

Location: Full-Time | In Office - Escondido, CA 92025
Industry: Multifamily Ground-Up Construction

About the Role

We are seeking a highly experienced Multifamily Construction Administrator to join our growing construction team. This is a hands-on, in-office position supporting multiple multifamily construction projects from preconstruction through closeout. The ideal candidate thrives in a fast-paced environment, understands every aspect of job site administration, and can keep projects organized, compliant, and moving forward.

Primary Responsibilities

· Manage all project documentation, document control, filing, and distribution.

· Maintain Procore and Builder Trend project records, RFIs, submittals, drawings, meeting minutes, and closeout documents.

· Coordinate with project managers, superintendents, subcontractors, architects, engineers, and owners.

· Track contracts, insurance certificates, lien releases, permits, and compliance documents.

· Monitor OSHA requirements and maintain jobsite safety documentation.

· Assist with project schedules, procurement logs, and material tracking.

· Prepare reports, spreadsheets, correspondence, and project logs using Microsoft Excel and Word.

· Support project startup through project closeout while ensuring accuracy and organization.

· Identify issues proactively and help keep projects on schedule.

Must be a team player

Qualifications

· 5+ years of multifamily construction administration experience (ground-up preferred).

· Expert knowledge of construction document control.

· Working knowledge of OSHA rules and construction compliance.

· Advanced proficiency in Procore, Buildertrend, Microsoft Excel, Word, Outlook, and Adobe Acrobat.

· Excellent organizational, communication, and multitasking skills.

· Self-motivated, detail-oriented, dependable, and technology savvy.

Preferred Experience

· Experience supporting projects from $5M+

· Ability to read and understand construction drawings and specifications

· Knowledge of procurement processes, subcontractor coordination, and project closeout.

· Experience in a fast-paced commercial or multifamily construction environment.
