Job Overview

We are seeking a proactive, detail-oriented, and bilingual (Spanish) Safety Administrative Assistant to join our team. In this role, you will support the safety department by facilitating safety orientations, coordinating safety training, and ensuring accurate data entry/maintenance. Your energetic approach and organizational skills will help foster a safe and compliant work environment. This position offers an excellent opportunity to develop your office management and expertise within a safety-focused oil and gas service organization.

Duties

Manage and maintain safety records, reports, and documentation with precision and confidentiality
Coordinate safety orientation, training sessions, and drug and alcohol testing using Microsoft Office tools
Providing excellent customer service and clear communication
Assist with data entry tasks related to safety inspections, incident reports, and compliance tracking
Support the front desk by greeting visitors, managing visitor logs, and directing inquiries professionally
Organize files, prepare proofreading documents, and ensure all safety materials are up-to-date and accessible
Support the safety team with clerical tasks such as filing, photocopying, and managing confidential information

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy skills
Experience with data entry, and general clerical duties
Excellent people skills
Bilingual abilities are absolutely vital to support diverse communication needs
Strong time management skills with the ability to prioritize tasks efficiently
Previous oil and gas/construction safety knowledge base is preferred
Familiarity with handling confidential information responsibly and accurately
Personal assistant or office support experience that demonstrates reliability and professionalism
