Full Job Description

Job Overview
We are seeking a dynamic and highly organized Personal Injury Office Manager to lead and streamline the operations of our personal injury law practice. This pivotal role involves managing administrative functions, supervising prelitigaiton staff from intake to settlements, onboarding and training staff, coordinating client communications, and ensuring the office runs efficiently and professionally. The ideal candidate will possess strong leadership skills, exceptional organizational abilities, supurb understainding of software, automation and AI and a passion for delivering outstanding client service. Your energetic approach will help foster a positive work environment while maintaining meticulous attention to detail across all office activities while maximizing case values and client experience.

Duties

Oversee daily office operations, ensuring smooth workflow and efficient case management.
Supervise administrative staff, including case managers, case manager assistants, medical clerks, settlement clerks, clerical assistants, and paralegals, providing training and ongoing development.
Manage client communications with professionalism, empathy, and clarity to ensure excellent customer service and capable of handling any escalating matters.
Coordinate scheduling for attorneys, appointments, court dates, and meetings using calendar management tools.
Handle vendor relationships, including negotiating contracts and managing supplies to maintain office functionality.
Maintain accurate bookkeeping and accounting records using accounting software such as QuickBooks; oversee billing, invoicing, and payroll processing.
Manage confidential information with discretion while ensuring compliance with legal standards and privacy regulations.
Oversee human resources functions including onboarding new employees, training, managing employee records, and supporting team development initiatives.
Organize firm events and community outreach activities through event planning expertise to promote team cohesion and client engagement.
Utilize Microsoft Office Suite and spreadsheets to prepare reports, track case progress, and analyze financial data effectively.
Coordinate customization of software: NEOS and ensure organization and consistency in the electronic file, check list modifications and proper documentation, dashboards and reports are accessible

Qualifications

Proven experience in office management within a volume personal injujry law firm
Bilingual (English and Spanish) is a plus.
Supervising experience with demonstrated ability to lead teams effectively.
Strong proficiency in Microsoft Office applications, spreadsheets, and financial software such as QuickBooks or similar platforms.
Excellent communication skills—both verbal and written—with a focus on client interaction and team collaboration.
Experience with vendor management, scheduling tools, multi-line phone systems, and front desk operations.
Ability to handle confidential information responsibly while maintaining high levels of organization and attention to detail.
Strong organizational skills with the capacity to manage multiple priorities efficiently under pressure.
Background in human resources practices including training & development initiatives is a plus
Technical proficiency in NEOS software, all office management software (including microsoft teams, sharepoint, cloud docs) combined with excellent phone etiquette and customer service skills.
