Overview

We are seeking a highly organized and proactive Scheduler to join our dynamic team. In this vital role, you will coordinate and manage appointment schedules, ensuring smooth operations across departments. Your expertise in office management, data entry, and communication will be essential to maintaining efficiency and delivering exceptional support to clients and team members alike. This position offers an exciting opportunity to contribute to a well-organized, productive workplace while utilizing your technical proficiency and organizational skills.

Duties

Develop and maintain detailed schedules for appointments, meetings, and project deadlines using productivity software and spreadsheets
Manage multi-line phone systems to handle inquiries, direct calls efficiently, and provide excellent customer support
Coordinate with team members and clients to confirm appointments, reschedule as needed, and communicate updates promptly
Utilize computer skills to update records, prepare reports, and manage data entry tasks accurately and efficiently
Support office management tasks such as filing, document processing, and maintaining organized records
Assist with front desk responsibilities including greeting visitors, answering phones with proper phone etiquette, and supporting client communication
Use Microsoft Office tools like Word and Excel for scheduling documentation, correspondence, and tracking project timelines

Experience

Previous clerical or administrative experience in an office environment with a focus on scheduling or calendar management
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and familiarity with productivity software
Experience handling multi-line phone systems and providing excellent customer service in a fast-paced setting
Bilingual abilities are a plus for effective communication with diverse clients and team members
Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Knowledge of QuickBooks or similar accounting software is advantageous for handling billing or invoicing tasks
Personal assistant or office management experience that showcases strong data entry skills, phone communication expertise, and professional demeanor
