Position Summary

The Facility Coordinator is responsible for coordinating the daily administrative, maintenance planning, procurement, and operational support activities of the Critical Facilities team. This position administers the Computerized Maintenance Management System (CMMS), coordinates preventive, predictive, and corrective maintenance programs, manages vendor and contractor activities, maintains operational documentation, and supports regulatory compliance to maximize equipment reliability and operational performance.

Working closely with the Facility Manager and Chief Engineer, the Facility Coordinator serves as the central coordination point between Operations, Maintenance personnel, vendors, customers, procurement, and corporate support functions, exercising independent judgment in prioritizing work activities, coordinating maintenance resources, identifying operational risks, and ensuring maintenance activities are executed safely, efficiently, and in accordance with company standards.

Key Responsibilities

Maintenance Planning & Asset Management

Administer the CMMS by prioritizing, coordinating, and monitoring preventive, predictive, and corrective maintenance activities.
Coordinate maintenance priorities based on operational risk, resource availability, and customer commitments.
Create and maintain work orders, equipment records, maintenance histories, and asset hierarchies.
Coordinate planned maintenance outages with Operations, customers, and vendors.
Review completed maintenance documentation for accuracy, completeness, and compliance.
Analyze maintenance performance metrics, identify trends, and recommend process improvements.
Maintain maintenance dashboards and key performance indicators.

Vendor & Contractor Coordination

Coordinate vendor resources, maintenance schedules, and operational priorities to minimize operational disruption.
Manage contractor onboarding, including safety, security, insurance, payment, and site access requirements.
Coordinate subcontracted maintenance activities with the Chief Engineer.
Track vendor performance, service reports, deficiencies, and corrective actions through completion.
Maintain facility service contracts and vendor documentation.
Ensure contractor work is completed in accordance with company standards and customer requirements.

Documentation & Compliance

Maintain equipment manuals, drawings, standard operating procedures (SOPs), maintenance records, calibration records, warranty documentation, and inspection reports.
Maintain documentation within SharePoint and other company systems.
Ensure maintenance records meet regulatory, customer, and audit requirements.
Support ISO, SOC, customer, and internal audits while maintaining audit-ready documentation.
Maintain equipment lifecycle documentation and operational records.

Operational Coordination & Administrative Support

Coordinate customer maintenance notifications and planned outage communications.
Coordinate meetings between Operations, vendors, contractors, and customers.
Prepare operational reports, maintenance dashboards, presentations, and management summaries.
Maintain maintenance calendars, outage schedules, and planning documentation.
Support incident investigations, root cause analyses, and corrective action tracking.
Provide operational and administrative support to the Facility Manager.
Walk the facility to identify operational issues requiring management attention and communicate observations to site leadership.
Coordinate communication during emergency response activities and support emergency preparedness initiatives.

Procurement & Inventory Management

Initiate purchase requisitions and purchase orders for maintenance materials and contracted services.
Develop procurement justifications describing work scope, business need, and operational impact.
Coordinate procurement activities through project completion and closeout.
Track material deliveries and vendor invoices.
Monitor critical spare parts inventory and recommend stocking levels that support equipment reliability and operational continuity.
Maintain warranty information and equipment replacement documentation.

Safety

Promote a proactive safety culture throughout the facility.
Support OSHA, NFPA 70E, Lockout/Tagout (LOTO), and company safety requirements.
Perform assigned safety inspections and operational audits.
Coordinate contractor safety documentation and PPE requirements.
Support emergency response drills and site readiness activities.
Escalate observed safety concerns to site leadership and assist with corrective action tracking.

Required Experience

Associate degree in Facilities Management, Engineering Technology, Business Administration, or a related discipline, or an equivalent combination of education and experience.
3–5 years of experience in facilities coordination, maintenance planning, CMMS administration, or a related operations support role.
Experience using Computerized Maintenance Management Systems (CMMS).
Strong proficiency with Microsoft Office, particularly Excel and Word.
Excellent organizational, communication, analytical, and problem-solving skills.
Demonstrated ability to prioritize multiple projects while exercising sound judgment in a fast-paced environment.

Preferred Experience

Experience supporting mission-critical facilities or data center operations.
Knowledge of electrical and mechanical building systems, including UPS, generators, HVAC, switchgear, BMS, and EPMS.
Familiarity with OSHA, NFPA 70E, ISO, SOC, and environmental compliance requirements.
Experience supporting customer or regulatory audits.

Physical Requirements

Ability to walk throughout active data center and office environments to coordinate maintenance activities, vendor work, and site operations.
Ability to sit, stand, and move throughout the workday.
Ability to occasionally lift or move materials weighing up to 20 pounds, such as office supplies, documentation, or small equipment.
Ability to use standard office equipment, including computers, phones, and printers.
Ability to wear required Personal Protective Equipment (PPE) when entering designated operational or construction areas.
Ability to work in varying environmental conditions while visiting active mechanical, electrical, and data center spaces.
Ability to respond to occasional after-hours maintenance activities or emergency situations when operational support is required.

Schedule

Full-time position. While the normal schedule is Monday through Friday onsite, flexibility is required to support planned maintenance activities, vendor coordination, audits, and occasional emergency response outside normal business hours.
