Service Writer

Location: Casa Grande, Arizona
Reports to: Service Manager

Position Overview

The Service Writer at Iron City Polaris serves as the primary point of contact between customers and the Service Department. This individual is responsible for assisting customers through the repair and maintenance process while helping maintain efficient communication between customers, technicians, Parts Department staff, and dealership management.

The Service Writer plays a critical role in maintaining customer satisfaction, ensuring accurate repair order documentation, coordinating workflow, and supporting overall dealership efficiency in a fast-paced powersports environment.

Primary Roles & Responsibilities

Customer Service & Communication

Greet and assist service customers in a professional and friendly manner.
Schedule service appointments and maintain daily service workflow.
Communicate repair estimates, repair status updates, and completion timelines with customers.
Review completed repair orders and invoices with customers during vehicle pickup.
Answer incoming phone calls and assist with service-related inquiries.

Repair Order & Administrative Support

Open, manage, and close repair orders accurately and efficiently.
Maintain accurate customer, vehicle, and service records.
Assist with warranty documentation and warranty claim processing.
Coordinate with technicians and Service Management regarding repair progress and shop priorities.
Ensure repair orders contain proper notes, documentation, and parts information.

Dealership Coordination

Coordinate with the Parts Department to ensure timely parts availability for repairs.
Support efficient workflow between Service, Parts, and Management teams.
Assist in maintaining an organized, professional, and customer-focused service environment.
Help identify and resolve scheduling, communication, or workflow issues that may impact customer satisfaction or shop productivity.

Preferred Qualifications

Previous Service Writer, dealership, automotive, powersports, or service department experience.
Experience with Lightspeed dealership software.
Familiarity with Polaris DEX and Polaris warranty procedures.
Experience processing or assisting with warranty claims.
Strong typing, computer, and data entry skills.
Working knowledge of Microsoft Office programs.
Strong customer service and customer relations skills.
Ability to multitask and remain organized in a fast-paced environment.
Strong communication skills with attention to detail and professionalism.
Team-oriented attitude with strong work ethic and reliability.
Must be able to occasionally lift and/or move up to 50 pounds
