Job Summary
We are seeking a dynamic and highly organized Executive Personal Assistant our CEO. The ideal candidate will be able to provide exceptional administrative support to the CEO, ensuring seamless communication and efficient day-to-day operations. The successful candidate will have a keen eye for detail, excellent organizational skills, and a professional demeanor.Duties

Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements while anticipating needs and conflicts.
Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
Coordinate projects and events from inception through completion, including planning logistics, booking venues, managing vendor relationships, and ensuring deadlines are met.
Handle phone etiquette with professionalism on multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
Perform office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized digital and physical filing systems.
Support personal tasks for executive including transcription of notes or dictation via typing or transcription tools like DocuSign for document signing.
Assist with clerical responsibilities such as front desk reception duties, customer service interactions, office supply management, and general administrative support to ensure operational efficiency.

Experience

Proven experience as an executive personal assistant or in a similar administrative role with at least several years of office management experience.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
Experience coordinating events or projects from planning stages through execution.
Familiarity with bookkeeping software such as QuickBooks along with basic bookkeeping knowledge.
Excellent communication skills—both verbal and written—with professional phone etiquette.
