Objectives of the Position

The Medical Receptionist assists the Patient and Client care team(s) in implementing the day-to-day operations. This position is often a patient's first point of contact, thus providing a positive and compassionate first impression is essential. The Medical Receptionist provides administrative and service support to the Patient and Client Services staff. In addition to administrative duties, this role provides support in the boutique, assists medical professionals as needed, and helps keep the center organized and running smoothly during slower periods. The tasks shall be completed in accordance with the Medical Receptionist Operations Manual[JM1] , and the mission, goals, policies, and procedures of the Hope PCC organization. Must demonstrate spiritual maturity in action and attitude. (Titus 1:7-8, Mark 10:45)

Qualifications

· As an ambassador of Jesus Christ to our community, the person in this position must be able to exhibit the grace and love of God to both those who receive Hope PCC services, our clients and customers, and to those who support Hope PCC, our donors and volunteers. · Maintains a consistent life-affirming philosophy and would never refer or advise a client to have an abortion (when a situation arises where a mother’s life is at risk, the center advocates taking measures to preserve her life, hoping that the mother and her child can both be saved)

Required Skills & Abilities

· Possess strong computer, math, grammar and accurate typing skills (40 wpm) and have a working knowledge of Microsoft Office, navigating the internet, and data entry.

· Must be capable of physical labor including carrying and lifting to 50 lbs. comfortably while working in a non-sterile environment; standing and/or sitting for long periods, and stamina.

· Maintain a positive attitude, with a willingness to be flexible with time and responsibilities.

· Exhibit a positive, friendly outward demeaner.

Responsibilities

· Answer the phone line and business line (as needed) and route calls appropriately.

· Schedule patient and client appointments according to Center guidelines and procedures.

· Send prayer needs texts to subscribed prayer partners in coordination with Patient and Client Services Manager(s).

· Assist Patient and Client Services Manager(s) in communicating with volunteers.

· Be available to minister to the emotional and spiritual needs of patients, clients, staff, and volunteers.

· Greet patients and clients, determine their immediate needs, and accommodate them according to procedures.

· Serve as a backup or scheduled advocate as needed.

· Prepare patient and client files for upcoming appointments, in coordination with the Patient and Client Services Manager(s) and Nurse Manager.

· Maintain incoming and outgoing material donations and/or program supplies using inventory software and following procedures, as needed. Write thank you notes when appropriate.

· Maintain common areas and patient and client rooms, keeping them clean and organized.

· Maintain designated office space and common areas of building by limiting clutter, organizing, and cleaning, when necessary.

· Help maintain an orderly and stocked client shopping area (Hannah’s Boutique).

· Compile and maintain client paperwork packets, client curriculum worksheets, etc. in coordination with Patient and Client Services Manager(s) and Nurse Manager.

· Maintain patient and client referral resources for volunteers and client use and review annually.

· Assist Patient and Client Services Manager(s) with weekly data entry within the eKyros computer program.

· Monitor security cameras for patient and volunteer entry ways and exits.

· Attend scheduled staff meetings, complete Pregnancy Decision Ministry training, and attend bi-monthly in-service training.

· Practice discernment and wisdom when dealing with confidential and difficult circumstances, knowing when to involve Patient and/or Client Services Manager(s) in decision making.

· Participate in other areas of the ministry in relation to client advocacy, events, and other programs, as needed and if time allows.

· Assure the Patient and Client Services Manager is fully informed of on-going client services programming/statistics, job-related tasks, progress, praises and needs both verbally and through a monthly written report to be included in the monthly Executive Director’s BOD report.

· Assist the nurse with medical intakes, including pregnancy testing and taking vitals.
