Job Title: Staff Accountant (Mid-Level)

Location: Grand Prairie, TX 75050 (On-Site)
Department: Accounting
Reports To: Accounting Manager / Controller
Employment Type: Full-Time

Compensation Commensurate to Experience and Qualifications

Position Summary

We are seeking a detail-oriented and experienced Staff Accountant to support a wide range of accounting, payroll, human resources, and financial reporting functions. The ideal candidate will have strong knowledge of accounting, excellent organizational skills, and the ability to work independently while supporting multiple business entities. This role requires a self-motivated professional with a strong work ethic, flexibility, and the ability to manage competing priorities. This position offers an opportunity for an experienced accounting professional to play a key role in accounting operations, financial reporting, payroll administration, compliance, and HR support functions across multiple business entities.

Education

Bachelor's degree in Accounting or related field preferred.

Experience

Minimum of 10 years of accounting experience.

Essential Duties and Responsibilities

Accounts Receivable

Process customer invoicing and collections activities.
Monitor and follow up on past-due accounts.
Record cash receipts and deposits.
Set up new customer accounts and process credit applications.
Process RMAs and customer credit memos.
Prepare monthly AR reports, including sales journals, aging reports, and cash receipt reconciliations.
Reconcile AR accounts to the General Ledger.

Accounts Payable

Process vendor invoices and receiving tickets.
Manage weekly accounts payable check runs.
Import checks into Positive Pay systems.
Process wire transfers and special payments.
Prepare weekly AP reporting.
Maintain AP aging schedules and accrual reports.
Reconcile AP accounts to the General Ledger.

General Ledger & Financial Reporting

Prepare and post journal entries and accruals.
Reconcile and review General Ledger accounts.
Maintain financial records for multiple companies.
Assist with monthly and year-end closing processes.
Prepare financial reports and supporting schedules.
Reconcile intercompany transactions.
Review prepaid expenses and accrued liabilities annually.

Fixed Assets & Inventory

Maintain fixed asset records and depreciation schedules.
Prepare depreciation entries and reports.
Support annual inventory counts and reconciliations.
Reconcile work-in-process, finished goods, and raw material inventory accounts.

Banking & Cash Management

Reconcile bank and credit card accounts.
Process wire transfers and cash-related transactions.
Manage travel accounts and expense reporting.
Prepare and reconcile cash-related General Ledger accounts.

Tax & Regulatory Compliance

Prepare and process annual 1099 filings.
Manage sales tax reporting and filings.
Support franchise tax and corporate tax reporting requirements.
Assist with property tax filings and compliance activities.
Prepare required regulatory documentation and reports.

Payroll Administration

Process payroll activities through Paychex.
Set up new hires and process employee terminations.
Reconcile payroll reports to the General Ledger.
Track employee vacation, leave balances, and accruals.
Prepare W-2 reporting and year-end payroll reconciliation.
Maintain labor allocation reporting and timecard balancing.

Human Resources Support

Administer 401(k) reporting, testing, census reporting, and compliance requirements.
Prepare Forms 1094 and 1095 and other annual HR compliance reports.

Year-End Responsibilities

Assist with year-end AP and payroll close processes.
Prepare annual tax filings and supporting schedules.
Conduct year-end vendor maintenance and W-9 updates.
Support insurance, workers' compensation, and liability audits.
Roll forward fixed asset and account balances for the new fiscal year.

Physical Requirements

Must be able to climb stairs multiple times daily to distribute and collect paperwork between office and shop locations.

Work Schedule

Monday through Friday
8:00 AM – 5:00 PM with a one-hour lunch, or
8:00 AM – 4:30 PM with a 30-minute lunch
Limited overtime required.

Pay: $65,000.00 - $125,000.00 per year
