Full Job Description

Job Summary:

We are seeking a dynamic and results-driven Event Sales Coordinator to support our event sales efforts from inquiry through execution. In this client-facing role, you will work closely with prospective clients, internal teams, and vendors to convert leads into confirmed bookings, coordinate event logistics, and ensure client satisfaction. The ideal candidate has strong communication skills, a passion for events, and a keen eye for detail.

Key Responsibilities:

Sales & Client Relations:

Respond promptly to incoming event inquiries via phone, email, or walk-ins.
Generate leads and assist with incoming leads, conducting site tours, and presenting event offerings.
Prepare and send proposals, contracts, and event packages to potential clients.
Maintain client relationships through consistent communication and follow-up.
Work to meet or exceed monthly and quarterly event sales targets.

Coordination & Logistics:

Liaise with internal departments (culinary, operations, marketing, etc.) to confirm event details.
Update and maintain event booking systems and CRM with accurate client and event information.
Assist in coordinating event timelines, room setups, menus, AV needs, and special requests.
Ensure all event details are executed as agreed upon in contracts.
Attend events as needed to support setup and client satisfaction.

Administrative Support:

Prepare event order sheets, invoices, and post-event summaries.
Track payments, deposits, and contracts to ensure compliance with financial procedures.
Maintain an organized database of clients, vendors, and event materials.
Conduct post-event follow-up and gather client feedback.

Qualifications:

Bachelor's degree in Hospitality, Marketing, Business, or related field (preferred).
1–3 years of experience in event sales, coordination, or hospitality.
Strong customer service and interpersonal communication skills.
Sales-driven mindset with the ability to meet goals and close deals.
Proficiency in CRM and event management software (e.g., Tripleseat, Delphi, EventPro, Salesforce).
Excellent time management, attention to detail, and organizational skills.
Ability to work evenings, weekends, and holidays as required by events.

Preferred Qualifications:

Experience working in a hotel, banquet facility, or event venue.
Familiarity with catering or AV services.
Knowledge of social media marketing and digital communication tools.

Work Environment:

Office-based with frequent site tours and event attendance
May require standing, walking, and lifting event materials
Fast-paced, deadline-driven environment

Job Types: Full-time, Part-time

Pay: $25.00 - $35.00 per hour

Expected hours: 20 – 40 per week
