Job Overview

We are seeking a highly organized, energetic, and professional Administrative Assistant & Community Outreach Coordinator to join our growing team. This hybrid role combines office administration with community engagement, offering the opportunity to support daily operations while representing the firm at local events and networking opportunities.

The ideal candidate is detail-oriented, enjoys interacting with people, and thrives in a fast-paced environment. You will play an essential role in ensuring smooth office operations while helping increase our visibility throughout the community by building relationships and supporting local marketing initiatives.

This is an excellent opportunity for someone who enjoys both administrative work and community engagement and wants to grow with a respected personal injury law firm.

Key Responsibilities: Administrative Duties

Answer and direct incoming client phone calls in a professional and compassionate manner.
Manage firm email inboxes and respond to inquiries promptly.
Schedule appointments and manage attorney and staff calendars.
Prepare, scan, organize, and maintain client files and legal documents.
Process incoming and outgoing mail and packages.
Maintain office supplies and assist with general office organization.
Enter and update client information in the firm's case management system.
Assist attorneys and staff with administrative and clerical tasks.
Coordinate meetings, conference room schedules, and office logistics.
Follow up with prospective and existing clients as directed.
Maintain confidentiality of all client and firm information.

Community Outreach & Marketing

Represent the firm at community events, festivals, networking events, trade shows, and local sponsorships.
Set up, organize, and manage event booths and promotional displays.
Distribute marketing materials, brochures, promotional items, and branded giveaways.
Build relationships with local businesses, chiropractors, medical providers, physical therapists, auto repair shops, and community organizations.
Identify opportunities for sponsorships, partnerships, and community involvement.
Capture photos and videos during events for social media and marketing campaigns.
Assist in planning and coordinating community outreach initiatives and marketing events.
Educate prospective clients about the firm's services and referral process.
Track outreach activities and prepare event summaries and reports.

Qualifications

Previous experience as an administrative assistant, office assistant, receptionist, or customer service representative preferred.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional phone etiquette and customer service skills.
Proficient with Microsoft Office Suite and Google Workspace.
Comfortable learning new software and case management systems.
Friendly, confident, and professional attitude.
Ability to work independently and collaborate with a team.
Valid driver's license and reliable transportation.
Willingness to travel throughout the local metro area for community events.
Ability to lift and transport event materials up to 30 lbs. when necessary.
Availability for occasional evenings and weekends for community events.
