Assistant Clinic Office Manager

Location: Tempe, AZ
Job Type: Full-Time
Setting: Outpatient Primary Care Practice

Help Build the Future of Primary Care

We're a growing primary care practice in Tempe, Arizona, and we're looking for an experienced, organized, and patient-focused Assistant Clinic Office Manager to join our leadership team.

This is more than a traditional front office position. You'll serve as both the Assistant Clinic Office Manager and Front Office Team Lead, helping create exceptional patient experiences while supporting the daily operations of our expanding practice.

As a newer practice, we're seeking someone who enjoys building processes, solving problems, leading by example, and helping shape a positive workplace culture from the ground up.

What You'll Do

Patient Experience Leadership

Champion an exceptional patient experience from check-in through check-out.
Foster a welcoming, compassionate, and service-oriented culture.
Monitor patient satisfaction, online reviews, and feedback.
Resolve patient concerns professionally and implement service recovery strategies.
Monitor waiting room flow to ensure efficient, positive patient experiences.

Front Office Leadership

Lead daily front office operations, including scheduling, patient registration, check-in/check-out, and phone communications.
Supervise, coach, and support front office staff.
Assist with staffing, training, onboarding, and performance development.
Promote teamwork, accountability, and professionalism.
Partner with the Clinic Office Manager to improve workflows and office efficiency.

Practice Operations

Optimize workflows within Athena EMR.
Maintain accurate patient records and documentation.
Support insurance verification, billing processes, and financial reconciliation.
Assist with inventory management, ordering office and clinical supplies, and resource coordination.
Ensure compliance with clinic policies and healthcare regulations.

Operational Growth

Identify opportunities to improve efficiency and patient care.
Support implementation of new workflows and operational initiatives.
Participate in special projects that support the continued growth of the practice.
Help create scalable systems for a rapidly growing organization.

Qualifications

Required

Minimum of 2 years of experience in a medical office or healthcare administrative setting.
Previous leadership, supervisory, or team lead experience.
Excellent communication, customer service, and interpersonal skills.
Strong organizational skills with the ability to manage multiple priorities.
Ability to thrive in a fast-paced, evolving healthcare environment.
Experience with Athena EMR (or similar electronic medical record systems).

Preferred

Experience in primary care or outpatient medical practices.
Medical Assistant Certificate

Requirements

Strong working knowledge of medical scheduling, insurance verification, EMR workflows, and Microsoft SharePoint.
Ability to professionally manage patient concerns and difficult situations.
Reliable attendance, punctuality, and dependable transportation.
Ability to travel between clinic locations and community events as needed.
