Full Job Description

A ROLE WITH ENERGY, VARIETY, AND ROOM TO GROW

A vibrant, well-established global consumer products company is looking for an exceptionally organized and resourceful Executive Assistant to support its President.

This is more than a traditional administrative position. It brings together executive support, project coordination, international travel, events, communications, and operational follow-through. Some days will be highly structured; others will require you to change direction, solve a new problem, or step into something you haven’t handled before.

You’ll help connect priorities across the business while making sure calendars, travel plans, meeting materials, communications, projects, and important details are handled correctly.

We are open to candidates who are still building their executive-support careers. You do not need to have done every part of this job before. We care about your aptitude, initiative, judgment, willingness to learn, and demonstrated success in other demanding roles. A background in project management, event coordination, operations, or executive support could be an excellent fit.

WHAT YOU’LL DO

Executive and project coordination

Manage the President’s calendar, meetings, priorities, and commitments across multiple time zones.
Track projects, action items, decisions, approvals, and deadlines.
Help turn ideas and conversations into clear next steps.
Follow up with stakeholders to keep work moving.
Anticipate what the President will need and prepare materials in advance.
Independently manage assigned projects through completion.
Identify opportunities to improve organization, systems, and efficiency.

Communication and meeting support

Monitor and organize executive communications.
Draft and proofread emails, reports, presentations, agendas, announcements, and other materials.
Prepare clear, concise communications for internal and external audiences.
Coordinate leadership calls and meetings.
Take notes, document decisions, and follow up on outstanding actions.
Serve as a professional liaison with employees, executives, vendors, visitors, and international business partners.

Global travel and events

Coordinate domestic and international travel, including flights, hotels, transportation, visas, itineraries, and contingency plans.
Complete flight check-ins and confirm travel details.
Maintain organized and accessible travel documentation.
Provide updates and logistical support while the President is traveling.
Help organize company events, leadership meetings, and off-site gatherings.
Attend select events and trips to provide on-site executive support.

Administrative and operational support

Conduct research and organize information to support decisions.
Maintain accurate files, records, spreadsheets, and contact information.
Prepare and refine PowerPoint presentations and other visual materials.
Manage expense reports, invoices, approvals, signatures, and time-sensitive shipments.
Coordinate with IT regarding equipment and technology needs.
Provide occasional personal assistance, such as coordinating family travel, appointments, bill payments, or shopping.
Pitch in wherever needed to help the President and team succeed.

WHAT WILL HELP YOU SUCCEED

Clear and professional written and verbal communication.

The ability to work independently while collaborating well with others.
Strong follow-through - you remember the details and close the loop.
Proficiency with Microsoft Office, particularly Outlook and PowerPoint.
Comfort learning project-management and collaboration platforms.
A valid passport and the ability to travel internationally.

RELATED BACKGROUNDS

Candidates may come from executive support, project management, event planning, operations, hospitality, communications, or another role requiring strong coordination and follow-through. Experience supporting a senior executive or working within a global organization is helpful but not required if you demonstrate the right aptitude and transferable skills.

TRAVEL AND SCHEDULE

This is an on-site role in Scottsdale, Arizona. It may require two to four international trips annually.

The President’s global travel occasionally creates time-sensitive needs outside standard business hours. You should be comfortable answering an urgent call or message when needed, but this is not intended to be a continuously on-call role. The organization values both flexibility and a healthy balance of focused work, travel, events, and fun.

PHYSICAL REQUIREMENTS

With or without reasonable accommodation, the position requires regular computer and telephone use, movement throughout office and event environments, periods of sitting and standing, and occasionally lifting items weighing up to 30 pounds.
