Summary
We're seeking a highly organized Project Manager to serve as the direct execution partner for our Chief of Staff at a fast-moving AI company. This is a hands-on, operational role where you'll personally manage and execute critical initiatives across the company, from product releases and launch logistics to internal systems, events, and day-to-day operations.

Location: Onsite at our Rockville, MD headquarters (candidates must be local or willing to relocate)
Employment Type: Full-time exempt
Hours: 40 hours/week; Occasional availability outside standard business hours may be required.
What You'll Do:
Strategic Project Execution
- Personally manage and complete high-priority projects assigned by the Chief of Staff
- Execute and launch operational tasks including timelines, asset coordination, and stakeholder communications
- Handle cross-functional project coordination between product, development, marketing, and sales teams
- Manage product development timelines and vendor coordination
- Take full ownership of projects from start to completion
Operational Management
- Execute daily operational tasks across departments
- Manage calendar coordination, meeting preparation, and follow-up actions
- Handle document creation, data management, and administrative components
- Coordinate logistics for events, meetings, and strategic initiatives
- Maintain project tracking systems and status reporting
Product & Launch Operations
- Execute operational projects across our product lines and offerings
- Coordinate the operational side of launches including books, courses, events, and product releases (timelines, assets, vendors, logistics)
- Support marketing and sales teams with the operational components of their campaigns
- Execute routine operational tasks with minimal supervision
Product Quality & Release Support
- Review new features on our staging environment before release, making sure everything looks and works as expected
- Help manage the intake of new feature requests and bug reports, keeping them organized, prioritized, and moving through our workflow
- Coordinate with the Development team on bug follow-ups and verify fixes before they go live
- Help maintain clear documentation of known issues and release status
Client & Partner Operations
- Coordinate marketing materials, sales assets, and presentations
- Work with legal and finance teams on required deliverables
Communication & Administration
- Execute meeting coordination and follow-up action items
- Handle project correspondence and documentation
Required Skills & Experience:
Must Haves
- 3-7 years of project management or business operations experience
- Proven track record managing multiple complex projects simultaneously
- Excellent English communication skills (written and verbal)
- Strong proficiency in project management tools (Asana, Monday.com, Trello, etc.)
- Exceptional attention to detail and organizational skills
Technical Skills
- Advanced proficiency in Google Workspace
- Hands-on, daily use of Claude, ChatGPT, or other AI tools to manage projects, draft documents, and speed up execution (this is how we operate, and we expect you to lean on AI heavily in your day-to-day work)
- Experience with data management and reporting tools
- Experience with marketing automation systems, CRM systems, and business software platforms
- Comfortable learning new software platforms quickly
Preferred Experience
- Background in startup or high-growth company environments
- Experience with software QA, staging review, or bug tracking workflows (Asana, Jira, or similar)
- Experience working with executive teams or C-level executives
- Knowledge of the AI/SaaS industry preferred but not required

Compensation & Benefits:
- Salary range: $90,000 to $100,000 per year, based on experience
