Full Job Description

Administrative Assistant / Project Coordinator

We are seeking a highly organized, professional, and driven Administrative Assistant / Project Coordinator to serve as the direct assistant to the Owner and Lead Salesperson. This is a key role in keeping the business organized, projects moving, and the sales cycle as short as possible.

This is a fast-paced, full-time position that combines executive support, project coordination, client communication, and field work. Approximately one-third to one-half of the workday will be spent on job sites performing site analysis and communicating with the design team.

Responsibilities

Direct assistant to the Owner and Lead Salesperson
Manage the Owner's calendar by scheduling meetings, appointments, and job site visits
Prepare the Owner for meetings by organizing agendas, documents, and relevant information
Attend sales meetings, record notes, and track action items
Prepare documents, reports, proposals, and presentations
Call and communicate professionally with clients, vendors, and subcontractors
Perform site analysis by taking measurements, photographs, and detailed notes on job sites
Communicate job site information and measurements with designers
Track action items and move jobs efficiently through the sales and project process
Help keep the sales cycle as short as possible
Maintain organized project files and documentation
Support the Owner with day-to-day priorities and operations

Qualifications

The ideal candidate must be:

Organized
Professional
Great at follow through
Detail-oriented
Self-motivated with an entrepreneurial drive and the ability to take initiative
Able to prioritize multiple projects in a fast-paced environment
Comfortable working both in the office and on job sites
Strong at written and verbal communication skills
Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Proficient with computers
Willing to learn and use Boss LM and Claude AI
