Job Overview
We are seeking a dynamic and highly organized Administrative Specialist to join our team! This vital role ensures smooth daily operations by managing administrative tasks, supporting office functions, and providing exceptional customer service. Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, routing calls, and providing professional client support
Coordinate calendars, schedule appointments, confirm meetings, and assist with managing staff and client availability
Process client paperwork, account forms, and administrative documents while ensuring accuracy and timely completion
Maintain organized digital and physical filing systems and ensure records are updated, accurate, and properly maintained
Support day-to-day operational workflows, including tracking pending items, following up on documentation, and assisting with internal administrative processes
Handle data entry, document preparation, scanning, and record management with strong attention to detail
Assist with operational and office management tasks to support an efficient and productive work environment
Communicate professionally with clients, vendors, and team members regarding scheduling, documentation, and general administrative support
Proofread documents, correspondence, and forms for accuracy, completeness, and professionalism
Maintain confidentiality and professionalism when handling sensitive client and business information

Requirements

Previous experience in office administration, operations support, receptionist, client service, or administrative support roles preferred
Strong organizational and multitasking skills with the ability to manage competing priorities in a fast-paced environment
Excellent verbal and written communication skills with professional phone etiquette
Experience coordinating calendars, scheduling appointments, and managing administrative workflows
Strong attention to detail and ability to accurately process paperwork, maintain records, and follow operational procedures
Proficiency with Microsoft Office Suite and general office technology
Comfortable learning and navigating internal business systems, CRM platforms, and document management software
Strong typing and data entry skills with a high level of accuracy
Ability to work independently, stay organized, and proactively support operational needs across the office
Ability to maintain professionalism, discretion, and confidentiality when handling sensitive information
Reliable, proactive, and team-oriented with a strong willingness to support office and operational functions as needed
