Position Overview

A rapidly growing independent wealth management firm is seeking a highly organized and detail-oriented Operations & Administrative Specialist to join our team. This position plays a critical role in supporting both operational and administrative functions of the firm while delivering exceptional service to our high-net-worth clients.

The ideal candidate will possess strong operational experience within the wealth management industry, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. This individual will work closely with advisors, operations personnel, and clients to ensure an exceptional client experience and efficient day-to-day business operations.

Key Responsibilities

Operations Support

Process new account openings, account maintenance requests, and account transfers.
Coordinate funds disbursements and other client account transactions.
Maintain accurate client records and update CRM systems regularly.
Assist with client reporting, portfolio allocation reviews, and retirement review preparation.
Support client education initiatives and service requests.
Coordinate client mailings, document processing, and record retention.
Work closely with custodians and third-party providers to resolve account-related issues.
Ensure all operational activities are completed accurately and in accordance with firm policies and industry regulations.

Administrative & Client Service Support

Answer incoming telephone calls and direct inquiries appropriately.
Serve as a primary point of contact for clients, providing professional and timely assistance.
Communicate regularly with clients regarding account requests, documentation needs, and follow-up items.
Schedule client meetings and maintain advisor calendars.
Prepare meeting materials, correspondence, and client communications.
Greet clients and visitors while maintaining a professional office environment.
Manage incoming and outgoing mail, packages, and office correspondence.
Assist with general office administration and special projects as needed.
Maintain exceptional phone etiquette and written communication standards.

Qualifications

Required

Bachelor's degree preferred; Associate degree considered with relevant experience.
3-6+ years of wealth management, financial services, or investment industry experience.
Strong understanding of brokerage and advisory account operations.
Experience with account opening, transfers, client service, and CRM management.
Exceptional verbal and written communication skills.
Professional phone etiquette and client-facing experience.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Ability to work independently while maintaining a high level of accuracy.
Demonstrated ability to effectively manage multiple priorities, deadlines, and client requests while maintaining a high level of accuracy and attention to detail.
Proficiency in Microsoft Office and CRM software.

Preferred

Series 7 License.
Experience working with high-net-worth individuals and families.
Familiarity with financial planning and retirement review processes.
