Full Job Description

SUMMARY OF POSITION:

· Providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

· Responsible for intra-office communication protocols, streamlining administrative procedures, inventory control and office task completion.

ESSENTIAL FUNCTIONS:

· Under minimal supervision, perform administrative and secretarial responsibilities and tasks among the office.

· Preparation and tracking of invoices, delivery notes, expense reports and payment transactions

· Prepare and tracking of Quotes and Customer Orders

· Prepare, send and store invoices

· Sorting and distributing incoming mail & shipments.

· Organizing and sending outgoing mail & shipments

· Liaising with colleagues and external contacts to book travel and accommodation

· Organizing and storing paperwork, documents and computer-based information

· Photocopying and printing various documents, sometimes on behalf of other colleagues

· Arranging both in-house and external events (trade shows)

· Manage phone calls and correspondence (e-mail, letters, packages etc.)

· Organize and schedule meetings and appointments

· Ensure filing systems are maintained and current

· Ensure That the Spare Part Inventory is maintained and current

· Ensure security, integrity and confidentiality of data

· Track and stocks of office supplies and place orders when necessary

· Assist in preparing and processing electronic transfers and payments

· Monitor accounts to ensure payments are up to date

· Correspond with customers and vendors for invoice and payment inquiries

· Provide supporting documentation for audits

· Provide general support to visitors

· Manage executives' schedules, calendars and appointments

OCCASIONAL DUTIES:

· Updates job knowledge by participating in educational opportunities

· Responsible for creating PowerPoint slides and making presentations

· Assists Sales and Marketing at Exhibitions

· Once employee demonstrates competency in position, he/she may be required to train others in similar roles.

EXPERIENCE/EDUCATION:

· High school diploma or Associate degree or certification in a related field

with equivalent work experience considered

· Proven experience as an Office Administrator Assistant

· Knowledge of business and management principles

· Proficiency in MS Office (MS Excel and MS Outlook, in particular)

· Knowledge of office software packages (ERP System and Quicken Finance)

· Ability to work modified hours and overtime.

SKILLS:

· Excellent communication skills, both oral and written

· Work precisely and pay close attention to details

· Exquisite time management skills

· The ability to prioritize work

· Great attention to details

· Advanced problem solving and decision making skills

· Very strong planning skills

· Great organizational skills

· Great proficiency in Microsoft Office and other around-the-office software

· ERP System Knowledge for Quoting, Customer Order processing and Invoicing

· Ability to handle multiple tasks in a fast paced environment

· Ability to perform diversified tasks.

· Must have the ability to work under pressure and should not get frustrated at work

· Work environment: Work performed in an Office environment. Exposure to elements such as odor, noise, dust, heat, cold and other elements. The noise level in the work environment is usually low.

Pay: $24.00 - $26.00 per hour
