Full Job Description

The Company:

Orsman Design [ODI] is an award-winning design firm for interior and landscape lighting. With offices in Southampton, Manhattan, and Miami, ODI serves clients throughout the United States and internationally.

Role:

Be part of the Procurement team responsible for managing and directing the purchasing of light fixtures required for various design projects. Develop sound, cost-effective strategies for the sourcing of lighting products and suppliers and the purchasing of products and services for ODI. Create a buying strategy to get the best products at the best price from the best vendor.

Role and Responsibilities:

Establish strong working relationships with internal design teams to ensure the right products are ordered at the right price and delivered as needed.
Find and maintain relationships with suppliers, manufacturers and distributors while continually scouting for additional vendors
Evaluate budgets while seeking ways to improve and enhance the quality of products purchased and the timeliness of deliveries
Maintain the vendor database and set up local vendors as needed
Obtain price quotes for goods and process formal proposals
Create Credit Memos
Update new prices in the system, on purchase orders (PO’s) and add any pertinent information
Generate PO’s using QuickBooks. Verify quoted prices when generating a PO for any item including reordering
Expedite orders, manage status of purchasing needs for stock items and exterior material
Review product specifications to maintain a working knowledge of goods or services to be purchased
Resolve vendor or contractor grievances and claims against suppliers
Process sample requests and PO’s for the Firm’s sample library and design mockups
Schedule educational presentations for the design team
Attend appropriate lighting events to stay current on new products, new vendors and new suppliers
Participate in special projects as directed, to include process improvement with the team
Other responsibilities as assigned

Qualifications and Education Requirements:

Bachelor's degree
Minimum 2-3 years of experience in procurement or purchasing required
Experience in the lighting design industry a plus

Required Skills:

1 plus years QuickBooks (preferred)
Must be skilled with Microsoft Office, Excel, Adobe Acrobat, and Outlook
Strong interpersonal and communication skills needed to effectively partner with all design team members and to negotiate with external vendors
Strong math/analytical skills required to calculate and process purchase orders
Highly organized and detailed-oriented
Ability to handle multiple procurement requests and execute from beginning to end
Ability to manage a heavy workload within tight time frames
Solid judgement required to make the right business decisions
Strong interpersonal and communication skills needed to effectively partner with all design team members
Demonstrate flexibility to accommodate rapidly changing needs of a growing organization

Additional Information:

Hybrid work opportunity – 4 days in NYC office; 1 day work from home
Summer Fridays between Memorial Day and Labor Day - remote half days
Week between Christmas and New Year's is a paid holiday
Full benefit program including Firm contribution to 401k plan
Must be employment authorized to work in the US; Firm does not provide sponsorship
Salary offered is between $68,000 and $75,000
