Overview

Join our growing team as an Office Manager/Administrative Assistant, where your energy and organization will keep our office running smoothly and efficiently. In this vital role, you will be the backbone of daily operations, ensuring seamless communication, accurate record-keeping, and exceptional customer support. Your proactive approach and technical proficiency will foster a productive environment that empowers our team to excel.

Duties

Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure a well-organized workspace.
Serve as the first point of contact at the front desk, greeting visitors, handling multi-line phone systems with professionalism and courtesy, and directing calls efficiently.
Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace and EMR systems.
Perform data entry tasks with accuracy, maintain filing systems—both physical and digital—and ensure all records are up-to-date and easily accessible.
Utilize QuickBooks for management of time off and time approvals.
Provide exceptional customer service by supporting clients, vendors, and team members with inquiries via phone or email while maintaining excellent phone etiquette.
Assist with clerical duties such as proofreading documents, managing correspondence, and supporting administrative projects to enhance overall office productivity.

Skills

Proven experience in office management or administrative roles with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with productivity software.
Technical proficiency with multi-line phone systems, data entry platforms, and QuickBooks.
Excellent computer literacy combined with strong typing skills for efficient document creation and data processing
Demonstrated experience in customer service roles such as front desk or medical receptionist positions.
Strong time management skills to prioritize tasks effectively while maintaining high productivity levels.
Knowledge of clerical procedures including filing systems, proofreading documents, and managing calendars for multiple stakeholders.
