Job Summary
Jeffan Group is seeking a highly organized and detail-oriented Accounting & Property Operations Coordinator to oversee the financial administration and day-to-day operations of our commercial properties.
This position combines accounting, property management, vendor coordination, and tenant support. The successful candidate will be responsible for maintaining accurate financial records, coordinating building operations, managing tenant relationships, and ensuring our properties are well maintained and operating efficiently.
This is an excellent opportunity for someone looking to grow their accounting and operations experience within a growing organization. The position is initially focused on supporting Jeffan Group, with the potential to expand into additional responsibilities supporting Jeffan International as business needs evolve.
This is an in-person, part-time position (20–25 hours per week) with a flexible schedule based on business needs.
Primary Responsibilities
Property Operations
- Serve as the primary point of contact for tenants regarding building-related requests and questions.
- Coordinate with contractors, vendors, and service providers for repairs, maintenance, inspections, and capital improvement projects.
- Schedule and oversee routine building maintenance and preventative maintenance activities.
- Conduct periodic property walkthroughs, as business needs require, to identify maintenance, safety, or tenant-related issues.
- Assist with onboarding new tenants, including building access, move-in coordination, and lease administration.
- Maintain organized lease files, vendor records, insurance certificates, and property documentation.
- Purchase building supplies and manage vendor relationships.
- Assist with special projects and property improvements as needed.
Accounting & Finance
- Process accounts payable and accounts receivable related to property operations.
- Prepare journal entries and maintain accurate general ledger records.
- Perform monthly bank reconciliations.
- Assist with month-end and year-end close activities.
- Prepare monthly financial reports and supporting schedules.
- Maintain vendor files and process payments accurately and timely.
- Assist with account reconciliations and maintain supporting documentation.
- Maintain organized accounting records and ensure financial information is complete and accurate.
Administrative
- Maintain organized electronic and physical records.
- Respond promptly and professionally to tenant and vendor inquiries.
- Identify opportunities to improve administrative and accounting processes.
- Perform additional duties and special projects as assigned.
Qualifications
Required
- 2–5 years of bookkeeping or accounting experience.

- Proficiency with QuickBooks or similar accounting software.
- Strong Microsoft Excel and Microsoft Office skills.
- Excellent organizational and time management skills.

- Ability to work independently, prioritize work effectively, and manage multiple responsibilities.
- Professional and courteous customer service skills when interacting with tenants, vendors, and contractors
Preferred
- Associate's or Bachelor's degree in Accounting.
- Experience assisting with month-end close and preparing financial reports.
Physical Requirements
- Regularly walk the property to inspect building conditions, common areas, parking lots, and grounds.
- Conduct periodic property walkthroughs, as business needs require, to identify maintenance, safety, or tenant-related issues.
- Ability to walk, stand, climb stairs, bend, and occasionally lift or carry items weighing up to 25 pounds.
- Occasionally work outdoors in varying weather conditions while performing property inspections or coordinating with vendors and contractors.

As the organization continues to grow, there is strong potential for the successful candidate to expand their responsibilities by supporting additional accounting and operational functions for Jeffan International.
For the right individual, this role offers the opportunity to transition into a broader, full-time position supporting both organizations. If the position expands into a full-time role with additional responsibilities, compensation and benefits will be reviewed and adjusted to reflect the scope of the position. Growth opportunities will be based on business needs, performance, and the successful assumption of additional responsibilities.
Compensation
Job Type: Part-Time
Expected Hours: 20–25 hours per week
Schedule: Flexible schedule during normal business hours (generally between 8:00 AM and 5:00 PM, Monday through Friday) based on business needs.
Pay: $24.00–$25.50 per hour, based on qualifications and experience.
