Full Job Description

We are seeking a highly detail-oriented and proactive Sales Administrator to manage and drive our end-to-end sales process for helicopter cargo hook systems. This role is critical to ensuring that every order moves efficiently from initial quote through manufacturing, testing, and final delivery.

The ideal candidate is not just organized—but persistent, communicative, and unafraid to hold internal teams accountable to timelines. This person acts as the central coordinator across departments, ensuring nothing falls through the cracks.

Key Responsibilities

Sales Process Ownership

Manage the full lifecycle of sales orders from quote to delivery (YOU ARE NOT SELLING)
Track and maintain all active orders, ensuring deadlines are met at every stage
Ensure accuracy and completeness of quotes, orders, and customer requirements

Cross-Department Coordination

Act as the central point of contact between Sales, Engineering, Manufacturing, QA/Testing, and Shipping
Proactively follow up with departments to confirm progress and identify delays early
Hold teams accountable to agreed timelines and escalate issues when needed

Order & Production Tracking

Monitor progress through:
Quoting
Order entry
Procurement / parts availability
Manufacturing / assembly
Testing / certification
Packaging and shipping
Maintain clear visibility on status of all orders at all times

Customer Communication

Provide timely and accurate updates to customers regarding order status
Clarify requirements, timelines, and expectations
Resolve issues or delays with professionalism and urgency

Documentation & Systems

Maintain organized and accurate records in CRM systems
Ensure all documentation (quotes, POs, certs, shipping docs) is complete and correct
Generate reports on order status, bottlenecks, and performance metrics

Problem Solving & Escalation

Identify breakdowns in process or communication
Take initiative to resolve issues quickly
Escalate when necessary to keep orders on track

Required Skills & Qualifications

Strong organizational skills with exceptional attention to detail
Proven ability to manage multiple projects and timelines simultaneously
Confident communicator—comfortable following up persistently with internal teams and customers
Ability to push for results without damaging working relationships
Experience with order processing, project coordination, or operations (manufacturing or aerospace preferred)
Familiarity with CRM/ERP systems
Self-starter with a high sense of ownership and accountability

· Shift: Mon-Fri 8am-5pm

· Pay: $27-$30hr Pending Experience
