Full Job Description

Looking for an exciting career in medicine? Join the team at Ophthalmic Partners, PC, a fast-paced, leading-edge ophthalmology practice committed to putting patients first and providing high-quality healthcare for the community.

We are seeking a Lead Patient Access Representative to support both call center and front desk operations. This is a lead-level position. The Lead PAR serves as an experienced resource for Patient Access staff while continuing to actively perform daily responsibilities, including answering calls, scheduling appointments, checking patients in and out, verifying insurance, retrieving referrals, collecting co-pays, entering charges, and assisting with physician schedule changes.

The ideal candidate is professional, organized, patient-focused, and comfortable supporting a high-volume environment while helping maintain consistent service standards across front desk and call center workflows. This position requires the ability to commute between our Marlton, Media, and Bala Cynwyd locations.

Essential Duties and Responsibilities

Answer and process all incoming calls pleasantly, professionally, and efficiently.
Accurately schedule, reschedule, and confirm patient appointments.
Check in and check out patients while ensuring demographic, insurance, and appointment information is accurate.
Collect co-pays and enter charges in accordance with practice procedures.
Verify insurance coverage and retrieve referrals as required.
Communicate with other departments to resolve patient requests, questions, or concerns.
Facilitate physician schedule changes by moving and rescheduling patient appointments.
Answer patient inquiries about insurances accepted, office hours, services, locations, exam fees, and other routine requests for information.
Support both front desk and call center workflows to ensure patients receive timely and accurate assistance.
Triage calls according to practice guidelines and route messages to the appropriate provider, technician, department, or location.
Retrieve and distribute voicemail, web mailbox, and electronic messages as needed.
Provide physician-specific, encounter-specific, and appointment-specific instructions to patients.
Assist team members with routine workflow questions, system navigation, appointment scheduling questions, insurance/referral processes, and patient access procedures.
Help promote consistency in patient access processes across call center and front desk functions.
Serve as a positive example for professional communication, patient service, accuracy, and teamwork.
Escalate operational concerns, workflow barriers, or patient service issues to the Patient Access Manager as appropriate.
Maintain a pleasant, professional demeanor while managing high call volume, front desk activity, and competing priorities.

Lead Role Expectations

This role provides lead support. The Lead Patient Access Representative may assist with training, workflow support, and day-to-day guidance; however, managerial responsibilities such as formal discipline, performance evaluations, scheduling authority, and final employment decisions remain with management.

Support new and existing Patient Access staff with workflow questions and best practices.
Help reinforce practice expectations for accuracy, professionalism, call handling, scheduling, check-in/check-out, co-pay collection, insurance verification, and referrals.
Act as a resource for both front desk and call center processes.
Assist with identifying process gaps and communicating them to management.
Model excellent patient service and professional communication.
Help maintain consistency between locations and departments.

Qualifications Required

High school diploma or equivalent.
Prior experience in customer service, healthcare, medical office operations, call center operations, or front desk patient access.
Strong knowledge of insurance carriers and referral requirements.
Outstanding communication skills and telephone etiquette.
Creative and proactive problem-solving skills.
Excellent computer skills and ability to navigate practice management software.
Strong and accurate typing skills.
Ability to work in a high-volume setting with professionalism and accuracy.

Preferred

Experience in ophthalmology, specialty care, or a multi-location medical practice.
Experience supporting both call center and front desk operations.
Experience assisting with training, onboarding, or workflow support.
Strong understanding of patient scheduling, registration, insurance verification, referrals, co-pay collection, and charge entry.

Skills and Competencies

Ability to remain calm and organized in a fast-paced environment.
Strong attention to detail and commitment to accuracy.
Ability to balance patient service, call volume, front desk responsibilities, and administrative tasks.
