Overview
Join a dynamic mental health organization as an Assistant Office Manager dedicated to fostering a supportive, efficient, and well-organized environment. In this vital role, you will oversee daily administrative operations, coordinate clinical and administrative staff, and ensure compliance with healthcare regulations. This position offers an exciting opportunity to combine healthcare management expertise with exceptional office administration skills in a mission-driven setting committed to mental wellness.

Duties

Manage daily office operations, including scheduling, patient intake, and administrative support for clinicians and staff
Oversee medical records management, ensuring accuracy, confidentiality, and compliance with HIPAA regulations
Supervise administrative personnel, providing training and performance feedback to foster a high-performing team
Coordinate with clinical staff to ensure efficient clinic workflows and optimal patient care delivery
Maintain familiarity with Google Drive for accurate documentation and billing
Oversee fiscal management tasks including budgeting, billing processes, insurance claims processing, and managed care coordination
Ensure compliance with HIPAA regulations while managing medical office functions
Support human resources functions including hiring, onboarding, and staff development initiatives
Facilitate communication between providers, patients, insurance companies, and external vendors to streamline operations
Monitor clinic supplies inventory and coordinate procurement to maintain operational readiness

Skills

Proven experience in mental health office management or related clinical settings such as Intensive In-Home, Mental Health Skillbuilding & Crisis Services.
Strong supervisory skills with the ability to lead administrative teams effectively
Expertise in fiscal management including budgeting, financial reporting, and billing procedures
Proficiency with Google Drive or similar platforms
Knowledge of HIPAA compliance standards and medical records management best practices
Familiarity with medical terminology relevant to mental health services and clinical documentation
Experience in managing clinic operations within acute care or hospital environments is highly desirable
Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
Strong communication skills for effective collaboration across teams and external partners
Ability to adapt quickly to new technologies and healthcare regulations while maintaining high standards of service excellence
