Full Job Description

Position Overview

We are seeking a reliable, organized, and detail-oriented Part-Time Personal Assistant to provide administrative support and assist with basic bookkeeping functions. The ideal candidate will be proactive, trustworthy, and comfortable managing a variety of personal and financial administrative tasks while maintaining a high level of confidentiality.

Responsibilities

Administrative Support

Manage calendars, appointments, and scheduling
Handle correspondence, emails, and answer office phones
Manage building affairs, contacting cleaning, HVAC, Landscapers as necessary
Organize and maintain electronic and paper files
Assist with personal projects and special assignments including those related to personal insurance
Track deadlines and follow up on outstanding items
Coordinate with vendors, service providers, and other building professionals
Order office supplies, kitchen supplies, and snacks
Coordinate travel arrangements and reservations as needed

Light Bookkeeping

Process and track invoices and bills
Reconcile credit card, bank statements and investment accounts
Maintain expense records and documentation
Assist with budgeting and cash flow tracking
Coordinate with accountants, tax professionals, and financial advisors as needed
Prepare and organize financial information for review
Maintain accurate records using Excel and/or bookkeeping software
Work with Accountant on year end items needed to file taxes

Qualifications

Previous experience as an executive assistant, personal assistant, administrative assistant, or bookkeeper preferred
Strong organizational and time-management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office, particularly Outlook, Excel, and Word
Experience with QuickBooks or similar bookkeeping software required
Ability to prioritize tasks and work independently
High level of discretion and confidentiality
Strong attention to detail and accuracy

Pay: $30.00 - $35.00 per hour

Work Location: In person
