Job Summary
New Development Services, LLC is seeking a dependable, organized, and experienced Day Support Program Manager to oversee the daily operation of our non-center-based day support program. This is a hands-on leadership position for someone who can effectively manage staff, maintain regulatory compliance, coordinate meaningful community-based services, and ensure individuals receive consistent, person-centered support.
The Day Support Program Manager is responsible for the overall coordination, supervision, and daily operation of the day support program. The manager will ensure services are delivered safely, professionally, and in accordance with each individual’s Individual Support Plan, Part V, behavioral support needs, preferences, and authorized services.
The manager will supervise Direct Support Professionals, coordinate daily schedules and community activities, review documentation, monitor service quality, communicate with families and support coordinators as appropriate, and ensure the program remains compliant with DBHDS, Medicaid, Human Rights, HCBS, and company requirements.
Essential Responsibilities
Program Operations
- Oversee the daily operation of the day support program.
- Develop and coordinate structured daily schedules that include meaningful community engagement, skill-building activities, recreation, socialization, and individual choice.
- Ensure activities reflect each individual’s goals, interests, abilities, support needs, and desired outcomes.
- Confirm appropriate staffing coverage, staff assignments, transportation arrangements, and participant schedules each day.
- Respond effectively to schedule changes, staffing concerns, behavioral incidents, transportation issues, and other program needs.
- Maintain an organized, safe, clean, and professional program environment.
- Ensure individuals are actively engaged and are not sitting for extended periods without meaningful activities or support.
- Create monthly activities calendar
- Communicate with providers and family members on closures and important updates related to the center and or activities.
- Promote dignity, respect, choice, independence, inclusion, and informed decision-making.
- Ensure individuals are offered meaningful choices regarding activities, meals, community destinations, peers, and participation.
- Participate in service planning meetings, quarterly reviews, reassessments, and other interdisciplinary meetings as assigned.
Staff Supervision and Accountability
- Provide direct supervision, guidance, and support to Direct Support Professionals.
- Assign staff responsibilities and clearly communicate daily expectations.
- Monitor staff attendance, punctuality, performance, professionalism, and compliance with company policies.
- Conduct routine staff observations and provide coaching, corrective feedback, and retraining when necessary.
- Ensure staff remain attentive and engaged while supporting individuals in the program and community.
- Address staff concerns promptly and report serious performance or conduct issues to administration.
- Assist with staff orientation, competency development, meetings, and ongoing training.
- Ensure staff understand the support needs, behavior plans, health protocols, and communication methods of the individuals they serve.
Documentation and Compliance
- Review daily progress notes and service documentation for accuracy, completeness, timeliness, and alignment with the individual’s approved outcomes.
- Quarterly Reports
- Master chart audits and updates
- Ensure documentation clearly describes the support provided, the individual’s participation, choices, response, progress, and any barriers encountered.
- Monitor completion of attendance records, transportation records, medication documentation, incident reports, communication logs, community participation records, and other required forms.
- Return incomplete or inadequate documentation to staff for correction and provide additional training when documentation concerns are identified.
- Maintain organized and audit-ready participant and program records.
- Assist with internal audits, licensing reviews, quality service reviews, corrective action plans, and requests for supporting documentation.
- Ensure services comply with DBHDS regulations, Medicaid requirements, HCBS settings requirements, Human Rights regulations, company policies, and individual service authorizations.
- Immediately report suspected abuse, neglect, exploitation, medication errors, injuries, missing persons, or other reportable incidents according to company and regulatory requirements.
Health, Safety, and Behavioral Support
- Ensure staff follow all health and safety protocols, risk management plans, seizure protocols, behavioral support plans, dietary guidelines, medication procedures, and emergency procedures.
- Monitor individuals for changes in health, behavior, mood, mobility, communication, or functioning.
- Provide leadership during behavioral escalations, medical concerns, emergencies, and crisis situations.
- Ensure staff use approved positive behavioral supports, de-escalation techniques, and least-restrictive interventions.
- Coordinate appropriate follow-up after incidents and ensure required documentation and notifications are completed.
- Conduct routine vehicle, emergency equipment, first-aid supply, medication, and physical-environment checks as assigned.
- Ensure safe transportation practices, including vehicle inspections, seatbelt use, passenger supervision, and required documentation.
Minimum Required Qualifications
- High school diploma or GED required.
- At least two years of experience supporting adults with intellectual or developmental disabilities.
- At least one year of supervisory, lead staff, program coordination, or management experience.
- Knowledge of person-centered practices and community-based developmental disability services.
- Ability to supervise staff, enforce expectations, provide constructive feedback, and address performance concerns.
- Strong written communication, documentation, organization, and time-management skills.
- Ability to review service documentation and identify missing, inaccurate, copied, vague, or noncompliant entries.
- Ability to manage competing priorities and respond professionally during stressful situations.
- Basic computer skills, including email, electronic documentation systems, Microsoft Word, and online training platforms.
- Valid driver’s license with an acceptable driving record.
- Reliable transportation.
- Ability to successfully complete required background checks and registry screenings.
- Ability to complete all required training within established deadlines.
- Ability to work a flexible schedule when program needs require it.
Preferred Qualifications
- Associate or bachelor’s degree in human services, social work, psychology, healthcare administration, education, or a related field.
- Previous management experience in a licensed day support, group home, supported living, community engagement, or behavioral support program.
- Knowledge of Virginia DBHDS licensing regulations, Medicaid waiver services, HCBS requirements, Human Rights regulations, and CHRIS reporting.
- Experience with Individual Support Plans, Part V plans, quarterly reviews, progress monitoring, incident reporting, medication administration, and quality assurance.
- Current CPR, First Aid, medication administration, crisis prevention, behavior support, or developmental disability-related certifications.

- Lift or assist with reasonable weight as required by an individual’s support needs and company safety procedures.
- Work in environments where challenging behaviors, loud vocalizations, medical conditions, or personal care needs may be present.

Pay: $41,600.00 - $52,000.00 per year
