Full Job Description

Chabad of Chesterfield is seeking a reliable, organized, friendly, and proactive Administrative & Communications Assistant to help support our growing programs, events, communications, donor relationships, and community outreach.

This role is ideal for someone who is detail-oriented, warm with people, flexible, able to take initiative, and committed to following through. We are looking for someone who gets things done, works well as part of a team, and can help keep important details from falling through the cracks.

Responsibilities include:

Administration and Scheduling

Manage the Chabad calendar, including event dates, room usage, reminders, deadlines, school schedules, Jewish holiday conflicts, and shared Google Calendar updates
Schedule meetings, appointments, fundraising meetings, donor meetings, and program-related calls
Follow up consistently to make sure meetings, tasks, and projects are completed
Maintain weekly task lists, timelines, checklists, and systems for ongoing programs and events

Events and Program Support

Manage event registration, RSVP lists, payment tracking, guest lists, name tags, seating lists, and final counts
Track who is coming, who paid, who needs a reminder, and who still needs to complete payment
Assist with event preparation, supplies, vendors, rentals, printing, shopping lists, and event materials
Coordinate volunteers for setup, registration, food, children’s activities, cleanup, photos, and follow-up
Support programs including Solomon Leadership, Women’s Circle, Hebrew School, Shabbat dinners, classes, holiday events, and community programs

Communications and Marketing

Create and send the weekly community email/newsletter
Draft and send program emails, reminders, thank-you notes, follow-up emails, nomination emails, sponsor emails, donor emails, and last-chance registration messages
Monitor the general Chabad inbox, respond to basic questions, flag important messages, and forward items that need attention
Create Facebook events, update community calendars, assist with social media, and help promote Chabad programs and initiatives
Create and send press releases before and after events

Donor, Sponsor, and CRM Management

Manage CRM records, donor information, community contacts, engagement notes, and follow-up tasks
Track donors, pledges, sponsorships, payments, giving history, birthdays, yahrtzeits, and personal follow-up needs
Send thank-you letters, donation receipts, tax receipts, and acknowledgments in a timely and organized way
Help with basic bookkeeping support, including tracking payments, deposits, invoices, reimbursements, receipts, event income, unpaid balances, and sponsorship payments

Community Outreach and Engagement

Help maintain and grow a list of Jewish individuals and families in Chesterfield and surrounding areas
Welcome new families to St. Louis and help introduce them to Chabad of Chesterfield
Help spread the word about programs, initiatives, giving opportunities, and the new Chabad Center
Track and grow engagement with Chabad of Chesterfield
Help identify community collaboration opportunities and support Chabad’s presence at Jewish community events

Care Initiatives and Personal Touchpoints

Maintain Loaves of Love and Bowls of Love lists, including who needs support, who received support, and what follow-up is needed
Keep up with Jewish birthday certificates, birthdays, yahrtzeits, and other meaningful personal touchpoints
Help ensure donors, sponsors, volunteers, speakers, hosts, and helpful community members are thanked properly and promptly

Development Support

Assist with grant research and possible funding opportunities
Support fundraising efforts through scheduling, follow-up, donor tracking, acknowledgments, and CRM organization

Strong writing and communication skills
Ability to stay organized, follow up consistently, and keep projects moving
