Full Job Description

Office Administrative Assistant

Location: Wyoming

Compensation, Schedule & Benefits

Pay: $45,000-$55,000 per year

Schedule: Monday–Friday 8-5PM

Paid Time Off (PTO): Begin accruing PTO on your first day of employment and become eligible to use accrued PTO after 90 days.

401(k): Eligible after one year of employment, including a 4% company match.

Essential Duties and Responsibilities

1. Front of House & Facility Presentation

Office entry is staffed/monitored during business hours; visitors and vendors are greeted and directed appropriately
Office common areas are clean, organized, and presentable at all times
Supplies (kitchen, restroom, printer, office materials) are stocked and never run out unnoticed

2. Mail & Financial Handling

Incoming/outgoing mail is processed daily with no missed deliveries or delays
Deposits are prepared and submitted accurately and on the required schedule
Sensitive documents and financial handoffs follow company protocol with zero errors

3. Onboarding & Recruiting Support

New hire paperwork, equipment, and workspace setup are complete and ready before day one
Recruiting coordination (scheduling interviews, candidate communication, posting management) is timely and organized
Onboarding checklist is followed with 100% completion tracked for every new hire

4. Scheduling & Administrative Coordination

Calendars, meeting logistics, and appointment scheduling for leadership are accurate and conflict-free
Recurring administrative tasks (reporting, filing, data entry) are completed on time without reminders
Requests from GM/Owner are acknowledged within 24 hours and completed by the agreed deadline

5. HR & Special Projects Support

Assists with employee records, compliance documentation, and file maintenance as directed
Executes special projects assigned by GM or Owner accurately and on schedule
Escalates HR-sensitive matters appropriately rather than handling independently outside scope

Knowledge, Skills, and Abilities

Professional Disposition

Warm, composed, and professional under frequent interruption — this person sets the tone for every visitor, vendor, and new hire's first impression of TFM
Discreet by default; comfortable handling confidential employee, financial, and client information without oversharing
Reliable and self-directed — shows up, follows through, and doesn't need micromanaging on recurring tasks

Core Skills

Strong organizational skills with high attention to detail (errors in mail, deposits, or onboarding paperwork are costly and visible)
Comfortable learning and working within business software (Aspire, payroll/HRIS systems, Microsoft Office/Google Workspace)
Clear written and verbal communication, especially for candidate-facing and new-hire-facing interactions
Able to prioritize and multi-task across front-desk duties, deadlines (deposits, onboarding dates), and ad hoc requests from leadership

Values Alignment

Work With Purpose — takes ownership of the front-of-house experience rather than treating it as a passive task list
Do It Right — follows process precisely, especially around financial handling and compliance-adjacent paperwork
