Full Job Description

New Insight Engineering is seeking a Full-Time Administrative Assistant to support daily business operations across our growing, remote-based engineering consulting firm. The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple administrative functions while working independently in a remote environment.

Main areas of support include:

· Provide general administrative support to leadership and project teams

· Manage and maintain calendars, including scheduling meetings, coordinating availability, and sending meeting invitations

· Handle correspondence including emails, phone calls, and internal communications

· Prepare, edit, and format reports, proposals, presentations, and internal documents

· Assist with document control, filing, and organization within shared digital systems

· Coordinate meetings, virtual events, and internal training

· Track and maintain records such as invoices, contracts, equipment logs, and employee documentation

· Support onboarding and offboarding administrative tasks for employees

· Maintain confidentiality and handle sensitive information with discretion

· Perform other administrative duties as assigned

Qualifications

· Mental Effort: Ability to maintain prolonged concentration on computer with high attention to detail, organization, and efficiency

· Time Management: Ability to work both remotely and in an office setting to complete assigned tasks; ability to work under pressure and meet deadlines

· Communication: Strong written and verbal communication skills, including using email, Teams, and phone communications

· Office Knowledge: Ability to take notes efficiently and comprehensively, have active listening skills, and ability to multi-task

Required Education and Experience

· Completion of a high school diploma or general equivalency degree (GED)

· Proficiency using Microsoft Office (Word, Excel, Outlook, etc.)

· Experience with file sharing, document management, and collaboration tools such as SharePoint, ProjectWise, or similar platforms

· Previous experience as an administrative assistant, office administrator, coordinator, or similar role

· Clean background check
